Job Description Summary
The Billing Analyst is responsible for the accurate and timely processing of billing activities, ensuring data integrity across systems and compliance with company policies. This role supports end-to-end billing operations, including invoice processing, credit management, product setup, and month-end reconciliation, while working closely with internal teams to resolve discrepancies and maintain billing accuracy.
Key Responsibilities
Billing & Invoicing
- Manage the billing upload process and ensure accurate invoice generation across systems.
- Create and process manual invoices for custom work via JIRA tickets.
- Monitor unposted invoices in billing systems (e.g., Eagle Admin) and resolve issues to ensure successful posting.
- Maintain and update billing exception reports, investigating and correcting discrepancies.
Credit & Adjustments
- Process credit notes, ensuring correct application and revenue coding.
- Review and validate credit note accuracy in line with financial controls.
Product & Account Setup
- Set up new products (e.g., Agency Studio, Website Blue, domains, M365 email licenses).
- Manage domain setup and configuration via WHMCS.
Cancellations & Account Changes
- Process customer cancellations, ensuring accurate system updates and billing adjustments.
- Reconcile cancelled and voided invoices across platforms (e.g., WHMCS vs Xero).
Month-End Close Support
- Perform month-end billing checks, including: Reviewing invoices and credit notes to confirm they have been issued correctly (Paid and Awaiting Payment). Identifying and resolving draft or unapproved transactions. Reconciling unallocated receipts in control accounts. Reviewing revenue postings (e.g., specific GL accounts such as 40904, 40905, 40003) and correcting misallocations. Verifying credit note revenue coding accuracy. Completing system reconciliation checks (e.g., WHMCS vs Xero, branding checks, product-specific invoicing such as Designly Lite).
Revenue & Pricing Administration
- Coordinate and issue price increase and auto-renewal notifications (annual and rolling).
System & Workflow Coordination
- Manage and update JIRA tickets relating to billing requests and manual invoicing.
- Collaborate with internal stakeholders to resolve billing issues and ensure process adherence.
REQUIREMENTS:
- Preferable with knowledge using Xero but not essential
- Proactive, positive attitude, team player with the ability to multitask whilst maintaining attention to detail and a natural problem solver
- 3+ years experience
- Excel skills (Intermediate) – Vlookup, pivot tables, etc.

Skills Required
- 3+ years experience in billing or related finance role
- Intermediate Excel skills (VLOOKUP, pivot tables)
- Experience with billing/invoicing, reconciliations, and revenue coding
