Position Summary:
Tidal Basin seeks a candidate for the role of Document Specialist Supervisor. The objective of the Document Specialist Supervisor is to oversee and ensure the success of a team of Document Specialist and Administrative Assistants. The Document Specialist and Administrative Assistants teams perform case management and work closely with applicants for an upcoming large-scale, federally funded grants program. The Document Specialist Supervisor is responsible for overseeing the Document Specialists by maintaining the operations of the unit, meeting goals and objectives as assigned, complying with all federal, state and local regulatory requirements, and adhering to all contractual or prescribed stakeholder expectations or requirements.
The Document Specialist Supervisor advises on issues identified by the Document Specialists and will assist Document Specialists in performing the following duties: review of intake forms and documentation to determine client’s eligibility for program benefits, recommendations for award, and finalizing agreements for execution. The Document Specialist Supervisor will assist in identifying bottlenecks and deficiencies, coordinating with the Document Specialists, and implementing recommendations to reach resolutions.
Duties/Responsibilities:
Specific duties may include:
- Provide program oversight and expert technical assistance on policies, principles, and standard operating procedures related to the Program.
- Oversee a group of Cases Managers and Administrative Assistants with a strong emphasis on production.
- Implement solutions-oriented strategies that facilitate program growth and success.
- Develop management tools for program targeting and performance reporting.
- Ensure absolute confidentiality of work-related issues and uphold data integrity policies.
- Ensures program service and procedure issues are resolved.
- Monitor and maintain the level of productivity within the assigned unit of Document Specialists.
- Ensure high-quality of service for applicants.
- Establish performance objectives and provide ongoing feedback.
- Present program/project ideas and coordinate with management and staff.
- Perform other duties as assigned.
- Maintain knowledge of state and federal regulations and guidance.
- Supporting the project in a hybrid environment, during local office hours, Monday – Friday.

- Excellent client relations and an understanding of local, state, and federal government structure.
- Experience working with grant programs.
Education and Experience:
- Associates or Bachelor’s degree in relevant field; AND,
- 2+ years in case management, financial management, accounting, application processing, grant-funded or government programs or related fields.
- Proficient in MS Office Suite.
- Experience managing a team of professionals a plus.
- Experience with federally funded programs a plus.
