We are looking for a Paralegal to provide advanced
legal support, conduct research and manage case administration to ensure
efficient legal workflows in a busy Wills and Estates team. The ideal candidate
for this role, should demonstrate expertise in legal drafting, familiarity with
Australian law and proficiency in case management tools. This role is critical
for maintaining compliance, streamlining documentation processes, and enabling
seamless coordination of legal
- Drafting
and sending initial letters to various estate institutions such as banks,
superannuation,
- investments,
share registries, government departments, accountants, etc. (precedent-based).
- Corresponding
with estate institutions (banks, superannuation, investments and share
registries government departments, accountants, etc.)
- Completing
institution forms (banks/super/share forms)
- Completing
Client Authorization forms and Purchaser Declarations
- Sending
documents via DocuSign
- Inputting
payment requests (into LEAP or Smokeball) and confirming beneficiary and other
account details with third parties.
- Return
of requirements to estate institutions
- Preparing
distribution authorities/statutory declarations (precedent-based)
- Inputting
time entries, preparing invoices and ensuring costs and time entries are always
up to date
- Note
taking/scribing in conferences with Solicitors and clients
- Reviewing
incoming postal mail (scanned by our receptionist to the Estates team) and
ensuring that all mail is being reviewed, costed and matter management software
updated
- Diary
management – receiving and making calls regarding appointments, outlook
calendar monitoring and updating, setting of reminders etc
- Management
of electronic and matter files – ensuring that files are updated (in LEAP or
Smokeball) against Onenote spreadsheet, to-do list regularly updated and
monitored
- Making
general enquiries with third parties such as accountants, genealogical
searching agents, the Court, barristers, etc.
- Compiling
annexures and exhibits for Affidavits. Paginating large Court documents.
- Updating
legal software (currently LEAP) with all beneficiary and asset information as
it becomes available
- Adding
to, and managing, the internal precedent database
- Drafting
and preparing simple Wills, Powers of Attorney, and Enduring Guardianships
together with accompanying letters and invoices to client
- Liaising
with clients regarding Estate planning documents and appointment scheduling/calendar
management for Estate management matters
Requirements
What You Bring:
- Education: Bachelor’s degree
in legal studies, Political Science, or related. Paralegal certification is
preferred.
- Legal Experience: 2–3 years in
a paralegal capacity, preferably with an Australian or common-law firm background.
- LEAP/Smokeball (legal software
file management) experience would be appreciated but is not essential.
- Technical Skills: Solid
understanding of legal terminology and procedures; proficiency in MS Office and
document management systems (such as LEAP and OneNote).
- Soft Skills: Excellent English
communication (both written and verbal), organizational agility, problem- solving
and team-focused approach.
