Position Overview

The Assistant Project Manager must be able to communicate professionally and demonstrate the ability to submit quality work internally and externally. This role involves project management, administrative and documentation functions, in order to keep construction projects on budget and on schedule. The position reports directly to the Senior Construction Manager. This position is based in our Hoboken Main Office.
The candidate will be a team player, working cohesively with the entire construction and asset management department, both in person and at remote locations.
Project Documentation & Controls

  • Prepare, log, and track submittals, RFIs, and change orders through to resolution
  • Maintain project records: contracts, insurance certificates, permits, drawings, and as-builts within company systems
  • Assemble and distribute meeting minutes, daily reports, and progress updates
  • Support bid leveling and procurement tracking, and help maintain the project schedule
  • Assist with cost tracking, budget updates, and monthly owner/subcontractor billing
  • Insurance tracking: Ensure all contractor certificates of insurance are current
  • Coordinate and manage project closeout documentation, including warranties, as-builts, and O&M manuals, ensuring complete and accurate turnover to Asset Management.

Coordination & Communication

  • Serve as a point of contact between subcontractors, vendors, the design team, and the owner
  • Coordinate material deliveries, long-lead items, and subcontractor scheduling
  • Help prepare and lead portions of project and subcontractor meetings
  • On occasion, assist vendors to operate on our systems

Field Exposure & Growth

  • Spend time on-site verifying progress, quality, and safety alongside the superintendent
  • Support field engineering tasks such as layout verification, punch lists, and closeout
  • Progressively take ownership of project scopes as skills develop
  • Other duties and projects as assigned.

Education/Experience

  • Associate's or Bachelor's degree in Construction Management, Civil Engineering, Architecture, or equivalent experience with construction accounting.
  • 1-3 years of experience in the construction industry is required.
  • Experience and proficiency with Microsoft Office programs (Word, Outlook, Excel).
  • Experience with Yardi File Manager and Procore or similar construction software, preferred.
  • Ability to communicate professionally via email and phone.
  • Ability to coordinate multiple projects simultaneously with attention to detail and accuracy.
  • Strong organizational and time management skills.
  • A real desire to grow into the field, not just stay behind a desk

Preferred 

  • Internship or co-op experience with a general contractor, subcontractor, or developer
  • Familiarity with construction management software (Procore, PlanGrid, Bluebeam, MS Project, or similar)
  • Ability to read and interpret construction drawings and specifications

What We Offer

This position offers a base salary in the $70,000-$100,000 range, plus discretionary bonus, competitive healthcare benefits, unlimited PTO, and a 401k match.
