Role description:

The Project Assistant performs the timely and accurate activities related to Arcadis Way of Project Management to support the project manager across the lifecycle of a project. Responsibilities may include administrative tasks around updating schedules and resource plans, maintaining project documentation, delivering supporting information to understand project progress sand support project reviews (health checks), and preparing progress reporting information. In addition, the project assistant may be called upon to schedule meetings and coordinate communication among team members and helping to monitor project progress. 

Role Accountabilities:

  • Support Project Managers across the full project lifecycle, including project setup, planning, scheduling, resource coordination, reporting, and project closeout activities.
  • Manage project financial and administrative processes such as Oracle ERP workplan updates, project setup reviews, invoicing, purchase orders, cash flow monitoring, and working capital management.
  • Prepare and analyze project reports, including cost analysis, labor forecasting, revenue performance, WIP reviews, and project health check information.
  • Ensure project compliance by maintaining documentation, monitoring mandatory requirements, and coordinating with stakeholders to resolve project-related issues.
  • Track project progress, resource planning, time bookings, risk registers, lessons learned, and project schedules while supporting project reviews and action follow-ups.
  • Drive continuous improvement by identifying process enhancement opportunities, sharing knowledge, training team members, and proactively mitigating project risks.

Qualifications & Experience 

  • Bachelor's degree in Accountancy, Finance, Business Administration, or a related field.
  • Minimum of 5 years of experience in project accounting, project coordination, project management, or related finance functions.
  • Knowledge of project financial management, including Time & Material (T&M), Fixed Price/Lump Sum contracts, revenue recognition, forecasting, and project reporting.
  • Experience using ERP systems such as Oracle ERP/EBS, SAP, or Microsoft Dynamics, with strong Microsoft Excel, Word, and Outlook skills.
  • Strong analytical, problem-solving, communication, and stakeholder management skills, with the ability to work in a global offshoring environment.
  • PMP, PRINCE2, or APM certification is an advantage, along with a proactive, detail-oriented, results-driven mindset and flexibility to support month-end deadlines.

Skills Required
