About this opportunity:
At Ericsson Estonia, our Administrative Services Team plays a key role in creating an inspiring, supportive and engaging workplace for more than 2000 personnel across four supply locations in Tallinn.
As an Assistant, you will be part of a team dedicated to strengthening office culture, coordinating impactful internal events and initiatives, and supporting employees and leaders in navigating Ericsson processes. Your work drives smooth operations, strengthens employee wellbeing, and supports a high performing, connected workplace.
This role is ideal for someone who enjoys building relationships, proactively develops solutions, and has experience in organizing workplace events as well as driving work environment improvements.
This is a fixed term contract for materinity leave cover. It is a full-time position (Mon-Fri) based at the office on Peterburi tee 67a Tallinn (occasionally travelling to our other sites in Tallinn as per needed by the business).
What you will do:
• Drive and coordinate internal events, celebrations, and culture building initiatives across our sites.• Guide employees and leaders through Ericsson processes, tools, and administrative routines (e.g., travel, entry/exit, onboarding coordination, approvals).• Support internal communication and engagement team to ensure information flows clearly and efficiently throughout the organization.• Support improvement activities, optimize administrative practices, and contribute to ongoing development projects. • Provide administrative support to managers, units, and leadership teams. • Manage calendars, prepare meeting materials, reports, presentations, and assist with decision making routines.• Act as an expert in Ericsson administrative systems and tools, providing support and guidance where needed.• Network and collaborate with stakeholders across Estonia and the wider Ericsson community.• Be a key point of contact for employees seeking support, guidance, or solutions.
The skills you bring:
• Previous administrative experience is highly regarded yet not mandatory• Proactive, can-do attitude and being solution oriented• Some experience coordinating events, meetings, and cross team activities• Proficient in MS Office 365 (Excel, Word, PowerPoint, Outlook, Teams, SharePoint) • Excellent planning, organizing, prioritization, and follow up abilities• Ability to analyse needs, propose improvements, and execute solutions• Strong communication and networking skills - in person and remotely• Positive mindset, flexible, resilient, and comfortable with change• High emotional intelligence and customer focused approach• Ability to work independently while being a collaborative team player• Fluent Estonian and English; Russian is an advantage
