Primary Purpose: This role provides operational, financial, and administrative support to the Legal Department, with a primary focus on vendor invoice payment, legal spend tracking, accruals, budget-to-actual reporting, and finance partnership. The role supports a broad range of legal functions, including litigation, intellectual property, privacy, compliance, and legal operations. The role reports to the Vice President & Deputy General Counsel and is a hybrid role, with three days per week in our Hudson Yards, NYC office required, subject to change with Company policy.
Key Responsibilities
- Own the review, coding, approval routing, payment tracking, and timely processing of external counsel and vendor invoices.
- Track legal budgets, accruals, forecasts, and budget-to-actual performance, and prepare clear spend reporting for Legal and Finance leadership.
- Partner with Finance and Accounts Payable to resolve invoice issues, improve payment workflows, maintain accurate matter and vendor data, and support month-end and quarter-end reporting.
- Manage settlement tracking and processing, including payment status, required documentation, and related reporting.
- Maintain physical and electronic legal records and oversee document retention processes.
- Prepare presentations, communications, dashboards, and status reports that translate legal operations and spend data into actionable insights.
- Assist with documentation and knowledge repositories in connection with contract lifecycle management.
- Coordinate and maintain departmental knowledge repositories.
- Assist with maintaining intellectual property and brand protection records.
- Assist with corporate entity management and maintenance of governance records.
- Maintain compliance calendars, documentation and knowledge management libraries, and internal tracking systems.
- Support compliance processes relating to data protection, third-party due diligence, and sanctions or export compliance.
- Assist with dispute and litigation management, including matter intake, document organization, legal holds.
- Monitor bankruptcy proceedings and support the preparation and filing of bankruptcy-related documents.

- Bachelor’s degree or equivalent professional experience.
- At least 2 years of legal operations, finance, accounting, e-billing, or paralegal experience.
- Experience in a law firm or corporate legal department.
- Proficiency with legal billing, e-billing, invoice review, matter management, eDiscovery, CLM, and financial reporting systems.
- Working knowledge of invoice coding, purchase orders, accruals, payment workflows, budget tracking, and reconciliation processes.
- Experience supporting a broad legal function across multiple practice areas within a corporate legal department.
- Ability to work independently, manage multiple priorities, and meet deadlines effectively.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Experience managing relationships with outside counsel, vendors, Finance, and Accounts Payable teams.
- Advanced proficiency in Microsoft Excel and Microsoft Office Suite, systems, and legal research and litigation software, such as Westlaw/Lexis, PACER, and Relativity.
- High attention to detail.
