Insite, Wipfli's intranet built on a SharePoint Communications site, serves as a central hub for employee information, news and resources. With more than 3,000 unique visitors each week and over 120,000 total weekly visits, it is one of the most frequently used digital destinations across the firm. As Wipfli grows and evolves, and as we expand our use of AI agents that depend on accurate, well-organized content to help employees quickly surface information, it is essential that Insite continues operating as a go-to platform for stakeholders with consistent governance, maintenance and alignment with SharePoint best practices. This role plays a critical part in supporting the day-to-day operations of the site, ensuring content accuracy, maintaining site health, delivering actionable analytics and recommending continuous improvements informed by new SharePoint releases and features. The position is a part of the Wipfli Internal Communications team and collaborates closely with SharePoint product owners and technical administrators in IT, to coordinate site needs, platform updates and long-term enhancements, including AI integrations, personalization and mobile app optimization. It will also support the vision of Insite remaining the central point of access in Wipfli's broader information and knowledge management ecosystem (including Quick Access, Wipfli Knowledge Search (Bloom fire), Aprimo, and other tools) by promoting consistency, findability and a seamless user experience. Additionally, this role will provide valuable support to Wipfli's Internal Communications team, including assistance with Contact Monkey for internal email campaigns, Wrike for project management and other operational needs.
Technology skills, Competencies and Experience: Technical skills • Hands-on experience with SharePoint Online, especially SharePoint Communication Sites. • Understanding of site templates, page layouts, web parts and permissions. • Experience with intranet governance, content lifecycle management and site • Proficiency in Microsoft 365 (Teams, OneDrive).• Comfort with analytics tools such as SharePoint usage reports or Power BI. • Basic HTML/CSS knowledge is a plus (but not required). • Experience with Copilot agents is a plus (but not required). Professional skills • Highly organized, detail-oriented and able to manage multiple requests simultaneously. • Native/Near-native English skills and clear communication skills for interacting with internal stakeholders, including executive leaders. • Ability to follow structured processes and maintain accurate documentation. • Proactive and resourceful in problem-solving and follow-up. • Self-directed and able to work efficiently across time zones. • Flexible and willing to support additional duties as needed.
Education & Experience
• Education - bachelor's in information technology or business administration or Management Information System. • 2+ years of experience in SharePoint Administration and Web Development. Preferred Certifications • SharePoint Administration or Microsoft 365 Certifications • Optional Certifications - Basic Web Development or HTML/CSS Courses Role and Responsibilities: Intranet site maintenance & governance • Manage daily and weekly updates to Insite, including home page updates, announcements, navigation and landing pages. • Archive outdated or redundant content following established governance guidelines. • Ensure pages follow approved templates, metadata standards and brand guidelines. • Coordinate with content owners on scheduled content reviews and refresh cycles. • Monitor site functionality, formatting issues, broken links and user access errors and resolve or escalate as needed. • Stay current on SharePoint online best practices, platform updates, and new feature releases, and recommended improvements with the internal communications team.• Collaborate with IT SharePoint product owners and technical administrators on site enhancements, permissions, and technical troubleshooting. User support, onboarding & training • Onboard new intranet contributors, including user setup, permissions management and providing basic SharePoint orientation. • Deliver simple training sessions, demos or walkthroughs for new users or teams. • Respond to user questions related to page editing, publishing workflows and access. • Maintain and update support documentation, quick guides and training materials. Content publishing & coordination • Publish intranet news, updates and pages provided by the internal communications team (no content creation required). • Perform quality checks on submitted content for formatting, images, links, documents, metadata and accessibility. • Support coordination of content across Insite, ensuring alignment and consistency for employee self-service and AI retrieval. • Ensure all required assets or approvals are obtained before publishing. Homepage & feature content updates • Update home page hero banners, feature tiles, and spotlight sections per weekly or monthly plans. • Ensure timely updates tied to internal campaigns, events or leadership communications. • Partner with internal communications to prioritize and sequence home page content. Analytics & reporting • Contribute to weekly and monthly SharePoint analytics using built-in reporting tools and additional analytics resources (Microsoft Clarity, etc). • Track page views, engagement trends, search queries and user behavior. • Identify insights, anomalies or improvement opportunities related to site performance and content usage. Technical Troubleshooting & Support • Resolve basic SharePoint issues related to navigation, permissions and publishing. • Manage user access, add/remove site members and maintain group permissions.• Escalate complex or platform-level issues to SharePoint product owners or IT technical administrators as needed. • Document recurring issues or needs to support long-term platform improvement. Collaboration & administrative support • Attend routine check-ins with the internal communications team to stay aligned on priorities. • Coordinate with IT, HR, and other internal stakeholders on intranet-related requests or initiatives. • Assist with metadata cleanup, taxonomy alignment and content governance audits. • Support internal communications operations and special projects, as assigned.
