The main duties of the Administrator, Office Services are to handle the distribution of mail and to perform administrative tasks pertaining to a mailroom as well as provide support to the Office Services Coordinator on Facilities related tasks. The Administrator, Office Services will be expected to provide exceptional service in English (French is considered an asset) to internal stakeholders in-person, via telephone and through e-mail correspondence.
This is a permanent, full time opportunity and will require the successful candidate to work on-site Monday to Friday.Key Responsibilities Mail Room & Copy Centre Duties
- Process incoming and outgoing mail and courier shipments
- Internal mail runs
- Respond to requests from all BLG personnel
- Make photocopies
- Print documents
- Bind documents
- Scan documents
- Change toner and fix paper jams
- Send faxes
ReceptionSupport Reception with the following:
- Serve as the first point of contact for clients, visitors, contractors, and couriers.
- Answer, screen, and direct incoming calls.
- Manage boardroom bookings and coordinate meeting logistics.
- Maintain visitor sign-in logs and security records.
- Issue and track temporary access badges.
- Book offices for visiting guests.
- Maintain a professional and welcoming reception area.
Key Competencies
- A minimum of one year of experience in customer service, administration, or a related field
- Excellent oral and written communication in English (French is an asset)
- Flexibility, sound judgment and a can-do attitude
- Excellent interpersonal and client service skills
- Ability to work in a team environment
- Proficient keyboarding skills and proficiency with Windows and MS Outlook and Word software
- Ability and comfort to be trained in and adhere to emergency response procedures
