Job Summary:

The Department of Applied Economics is seeking an Administrative Manager. This is a full-time (1.00 FTE), 12-month, professional faculty position.


The Department of Applied Economics at Oregon State University seeks an Administrative Manager to serve as the operational anchor for an academic community dedicated to scholarship and education on environmental, natural resource, and food system issues. You will ensure a smooth running department by overseeing daily business operations, coordinating human resource functions, managing physical spaces, and executing purchasing, travel, and financial reimbursements. You will navigate university administrative processes and policies on behalf of 18 faculty, 2 staff, 25 graduate students, and 135 undergraduate students.

The department has funding support from diverse sources including the Oregon Agricultural Experiment Station, research grants, contracts, the Extension Service, and the instructional budget of OSU's College of Agricultural Sciences (CAS). As a member of CAS, you will adhere to the principles and practices conveyed in the CAS CARE Commitment document.


Key Responsibilities


  • Perform human resource processes for the department including recruitments, hiring, promotions, setting up faculty summer appointments, and maintaining files related to faculty and student work assignments and performance reviews.
  • Work with OSU Financial Strategic Services (FSS) and Research Support Services (RSS) to ensure timely processing of grant spending, personnel appointments, and other budget matters and fiscal processing.
  • Assist graduate students and faculty with booking travel, making purchases, and reimbursements.
  • Maintain the functions of department physical spaces including ordering supplies, scheduling and opening rooms, assigning office spaces, distributing mail, overseeing the printer and mailroom, and maintaining an inventory of department assets including computing resources.
  • Act as departmental safety officer and a liaison to the building manager, human resources, information technology, facilities services, custodian services, and vendors to the department.
  • Attend periodic trainings and departmental and CAS administrative manager meetings to stay abreast of all policies and procedures affecting departmental personnel and physical spaces.
  • Other duties and special projects as assigned by the department head.

  • A Bachelor’s degree
  • Effective written and verbal communication skills.
  • Demonstrated ability to work independently with minimal supervision.
  • Demonstrated ability to make recommendations which align with policies, and act as a resource person.
  • Proficient in the use of computers including applications for word processing, spreadsheets, calendars, email, and scheduling.
  • Demonstrated regard for confidentiality, discretion, and diplomacy, and the ability to interact with and positively impact underserved audiences.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months. 


Preferred Qualifications:


  • Three or more years' experience providing administrative support and personnel management which includes a demonstrated ability to plan, organize, evaluate, manage, and delegate; set priorities; and manage multiple projects, activities, and deadlines simultaneously.
  • Working knowledge of OSU Human Resources policies and procedures.
  • Experience with the Workday and/or Concur software systems.
