THE ROLE:
 

We are expanding our Strategy & Commercial (S&C) team and have an opportunity for an Administrative Assistant, located in Calgary, AB. Reporting to the Executive Assistant to the CEO, you will provide administrative support to the team while demonstrating your organizational skills, excellent attention to detail and strong communication skills.

HOW YOU WILL CONTRIBUTE:

  • Serve as a professional ambassador of the team, ensuring all interactions, both internal and external, are positive, supportive, and contribute to enhancing the team

  • Assist with strategically managing calendars, meetings and appointments, and with preparation for meetings (venue, catering, equipment, supplies, conferencing requirements, etc.)

  • Manage domestic and international travel and conference arrangements, including liaising with a third-party travel agent, booking travel and associated items such as hotel rooms, meeting rooms, car rentals and activities

  • Assisting Joint Venture Relations in meeting coordination, meeting setups, materials preparations, travel arrangements and overall support of partner engagements

  • Preparation and submission of expense reports and corporate credit card statements, including financial coding

  • Reporting and analysis of travel expenses and various project costs

  • Work with departments on event requirements such as promotional and presentation materials

WHAT YOU BRING:

  • 5 + years of related administrative experience

  • Excellent writing, grammar and editing skills with strong attention to detail

  • Demonstrated ability in using MS Office applications (Outlook, Word, Excel, Visio, Project,) with advanced skills in PowerPoint

  • Ability to collaborate, take initiative and thrive in a fast-paced environment

  • Strong relationship building, patience, listening and intuitive interpersonal skills

  • Proven ability to multi-task and efficiently respond to changing priorities

  • Previous experience working with a high level of diplomacy and good judgement, maintaining strict confidentiality with highly sensitive and confidential information
