Job Summary:
Broad knowledge of operational procedures and tools obtained through extensive work experience and may require vocational or technical education. Specializes in providing administrative support for a department or group of individuals. May include coordinating meetings, ordering supplies and equipment, processing mail, managing calendars, processing payroll for staff non-exempt employees, and running reports. Makes travel arrangements and processes expense reports using Concur for all executives. At this level the employee is supporting small to mid-size departments.
Mission of the Personal Lines Customer Service Administrative Assistant
To assist the agency in growing the Personal Lines book of business by maximizing the MAPY/AWLE processes and applying your knowledge on a daily basis. To focus on providing world class customer service to our “internal” as well as external customers and watching for opportunities to round out accounts as well as supporting producers and CSR’s/CSA’s.
Essential Duties and Responsibilities include the following: (Other duties may be assigned)
Basic Administrative Duties include:

Mortgagee/loss payee letters
-
Auto ID request (Existing clients only needing copies)
-
Cancellation Calls (outgoing calls on pending non pay notices)
-
Expiration/renewal list
-
Move policies
-
Payment calls
-
Backup reception desk (including breaks, lunch and unscheduled absences)
-
Photo distribution
-
Daily outgoing mail
-
Distribution of DOW weekly rate requests and monthly rate confirmations
-
Sales stats
-
Maintenance of “How to” and “Training Tools” binders
-
Month End reports
Non-Download Data Entry Duties include:
-
Data entry for all non-downloaded policies – Renewals/Endorsements/New Business
Cancellation Duties include:
-
All agency downloads + manually assign
-
Pull all NOC’s from Carrier websites – File for 5 days prior to X-date-file by date in paper port
-
Mercury Download report – Run and distribute accordingly
-
Today’s Cancellations – Check for paid/reinstated. If not, distribute between assistants to call (see basic duties above)

Suspense/logging lost business 60 days out

Weekly Cancellation
Report Accounting Duties include:

Pull, sort and process all commission statements
-
Assign accounting policies
-
Accounting deposits
-
Small miscellaneous accounting projects
Technology Duties include:

Carrier login maintenance
-
Download policy maintenance
-
Small IT assistance
Qualifications

Education and/or Experience
Associate degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should have knowledge of the following: EPIC and Microsoft Word for word processing and Outlook for email.

Pay Details:
Hourly: $20 - $21
