WHAT WILL I BE DOING?

CHI is looking for full-time Administrative Assistant for our Commack location.  You will be responsible for providing overall support to the program by overseeing ordering office supplies, tracking various program metrics, ensuring appropriate documentation storage and retention, and other duties hat support clients and employees.

This is accomplished by performing the following functions:

· Order supplies and keep track of inventory.

· Assess equipment needs.

· Maintain invoices/billing and petty cash.

· Miscellaneous office errands.

· Organize the office layout.

· Create flyers and memos to be distributed as needed.

· Provide support in data management (spreadsheets, tracking sheets as relevant to program operations).

· As needed, assist in event related duties such as planning, set-up, and break down.

· Maintain pertinent records for state and county requirements.

· Keeping accurate record and reporting daily census and activity to administration.

· Act as a liaise with the local department of social services to obtain and maintain resident housing.

· Address employee’s queries regarding office management issues (e.g. stationery, hardware, etc.)

· Liaise with facility management vendors including cleaning, etc.

· Plan in-house or off-site activities, celebrations, and conferences.


WHAT DO I NEED?

Education: Associate degree in Business Administration or a related field, or equivalent work experience preferred.

Experience: 2 + Years’ experience in Office Administration.

Confidentiality: Strong sense of discretion and confidentiality required.

Communication: Excellent verbal and written communication skills. Proficiency in English required. Bi-lingual (Spanish) is a plus.

Computer Skills: Basic competency in MS Windows, MS Office, and internet usage.

Physical Performance: Ability to tour properties, walk distances, climb stairs, etc.

Reasoning Ability: Ability to prioritize, make appropriate decisions and judgment calls.

Other Skills: Ability to work independently or as part of a team, be highly organized, assume responsibility, work well under pressure, meet deadlines, multitask, be flexible, and maintain a high level of attention to details. Must be even-tempered, have good negotiation skills, and the ability to meet unexpected deadlines. Effective time management skills.

ANYTHING ELSE?

  • Salary: $17.86 per hour (approximately $37,148 annually)
  • Overtime available
  • Open shifts: Monday - Friday, 9 a.m. - 5 p.m.
