General Purpose:  

The Administrative Assistant is responsible for providing comprehensive administrative, financial, and operational support to ensure the efficient day-to-day operation of the dealership. This role serves as a key resource for the Store Manager and all departments by coordinating administrative processes, maintaining accurate business records, supporting equipment inventory transactions, and assisting the Parts and Service teams as business needs require. The Administrative Assistant is expected to be a flexible team member who proactively steps in wherever needed, contributes to process improvements, supports customer communication and community engagement, and helps deliver an exceptional customer experience while promoting the overall success of AVE-PLP.

Essential Functions:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Coordinate administrative operations by preparing reports, analyzing data, maintaining efficient workflows, and implementing process improvements to support dealership operations.
  • Process equipment inventory transactions, including generating stock numbers and accurately reviewing sales settlements, contracts, and monthly statements.
  • Manage daily financial and administrative tasks, including processing deposits, balancing cash, and maintaining accurate customer tax-exempt certificates and vendor W-9 records.
  • Provide cross-functional support to the Parts and Service Departments by assisting with inventory, parts fulfillment, administrative tasks, and workflow improvements as business needs require.
  • Partner with the Store Manager and dealership team by stepping in wherever needed to support daily operations, special projects, equipment maintenance coordination, and deliver an exceptional customer experience.
  • Assist all departments with contacting customers to communicate programs, promotions, events, and dealership initiatives while representing the company in a professional and customer-focused manner.
  • Support community outreach activities, store events, and other location initiatives.
  • Help maintain a clean, organized, and professional facility by assisting with light custodial duties as needed.
  • Perform other duties as assigned to support the overall success of AVE-PLP.

Qualifications

Knowledge, Skills, and Abilities:

  • Ability to consistently promote, support, work, and act in a manner in support of AVE-PLP’ s Vision, Purpose, and Guiding Principles.
  • Strong ability to multi-task and prioritize tasks.
  • Strong verbal and written communication skills.
  • Excellent customer and employee relational skills.

 

Education:

  • High School Diploma or General Education Diploma (GED) equivalent is required.

Experience:

  • One year of experience completing administrative tasks is preferred.
  • An equivalent combination of education and experience may be substituted on a year for year basis.
  • One year of customer service experience is preferred.

Additional Requirements/Licenses/Certifications:

  • Must have a valid driver’s license.
  • Passing a driving record (MVR), criminal history background checks, employment verification, and drug screen will be required prior to the start of employment. 
  • Must have reliable transportation.

  • Work is generally performed in a professional office environment.
  • Personal Protective Equipment (PPE) as required by the work location.

  • Some filing is required; it would require the ability to reach for and lift files, open filing cabinets and bend or stand on a stool as necessary.
  • Ability to stand, sit, walk, walk on unpaved terrain, talk, reach with arms and hands, have good manual dexterity, use hands and fingers to operate a computer and telephone keyboard, handle or feel, hear alarms/telephones/normal speaking voice.
  • While performing the duties of this job, the employee is regularly required to talk or hear.  
  • Moderate physical activity required by moving and positioning objects up to 50 pounds occasionally and/or up to 20 pounds frequently.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.
