The Role:
Our site in Colorado Springs, Rockrimmon is seeking a Sr Administrative Assistant to serve as a central point of coordination for site operations, workplace services, communications, visitor management, and administrative support functions. This role is responsible for creating and maintaining a professional, organized, and customer-focused work environment while supporting business objectives through project coordination, vendor management, cost-saving initiatives, and site-wide operational excellence. The position acts as a key resource for employees, visitors, contractors, vendors, and leadership, ensuring consistent execution of facility standards, communication strategies, and employee support services.
What You’ll Do:
Workplace Operations & Facilities Coordination
Manages purchase requisitioning for indirect spend for facility
Coordinate daily workplace services and site support activities.
Manage relationships with service providers, including janitorial, beverage, first aid, uniform/gown, mat, and other facility vendors.
Maintain office supply inventories and replenishment processes.
Oversee breakroom supply management and support workplace cleanliness standards.
Manage seating assignments, seating maps, employee nameplates, lockers, and workspace organization initiatives.
Support conference room readiness, standardization, scheduling logistics, and supply management.
Maintain evacuation rosters and other site operational records.
Support restroom and gowning room inspection programs and vendor compliance tracking
Employee Services & Onboarding
Administer employee and contractor badge issuance and access processes.
Establish and maintain mailboxes and internal mail distribution systems.
Support onboarding activities for new employees, contractors, and temporary staff.
Maintain training hub resources and coordinate training-related logistics.
Provide general administrative support to employees and leadership teams.
Communications & Employee Engagement
Coordinate site-wide communications, newsletters, digital signage, and communication boards.
Support town halls and employee communication initiatives.
Ensure workplace communications remain current, accurate, and aligned with organizational messaging.
Develop and maintain visual displays, informational posters, and presentation materials.
Visitor & Customer Experience
Serve as primary coordinator for visitor and customer experiences.
Coordinate travel, lodging, scheduling, safety briefings, and hospitality arrangements for guests.
Plan and manage site tours, including PPE requirements, routing, scheduling, and tour guide coordination.
Support visits from customers, executives, government officials, educational institutions, and other stakeholders.
Ensure a professional, welcoming, and compliant visitor experience.
Event Planning & Coordination
Serve as site point of contact for event planning and coordination.
Manage site calendar activities and coordinate internal and external events.
Coordinate catering services and meeting logistics.
Support executive meetings, customer visits, grand openings, and special events.
Reporting, Analysis & Continuous Improvement
Generate attendance reports and other operational metrics.
Perform monthly data collection and analysis related to waste and recycling programs.
Work with vendors to validate and reconcile operational data.
Lead or coordinate indirect cost-savings and cost-avoidance initiatives.
Identify opportunities to improve workplace services, efficiency, and employee experience.
Support 5S and workplace organization standards throughout non-production areas.
Project Management
Coordinate cross-functional workplace and facilities projects
Manage implementation activities related to workplace improvements and operational initiatives.
Track project milestones, schedules, stakeholders, and outcomes.
Partner with internal teams and external vendors to achieve project objectives and business goals.
What We Seek:
HS degree or GED required and 3-5+ years of experience in office management
Experience coordinating vendors and managing multiple priorities simultaneously
Experience supporting leadership teams and customer-facing activities preferred.
Prior reception and administrative assistance experience
High level of experience with Microsoft Office suite
Excellent communication skills
Ability to multi-task
Work independently as well as partnering and team collaboration with other facilities department members.
Outstanding interpersonal and customer service skills.
Exceptional organization skills with ability to handle sensitive confidential information in a professional manner.
Discretion, judgment, tact and diplomacy a must.

Compensation of $25-$30/hour depending on experience.
