We're now looking for an Administrative Assistant to help keep our Sydney team running at its best.

About the Role

Based onsite in our Sydney office, you'll provide day-to-day administrative support to members of our senior leadership team while helping ensure the office runs smoothly. This is a varied role that combines executive support, office coordination and general administration.

It's a great opportunity for someone with a few years of administrative or coordination experience who is organised, proactive and enjoys working in a busy, fast-paced environment.

This is a part-time, onsite role working four days per week (0.8 FTE).

What you'll do

Executive Support

  • Provide calendar coordination, meeting scheduling and day-to-day administrative support to senior leaders.
  • Assist with preparation of documents, presentations and basic reporting.
  • Support meeting coordination, including agendas, note-taking and follow-ups.
  • Manage travel bookings and expense administration for assigned leaders.
  • Help triage and coordinate incoming requests, ensuring timely and professional responses.

Office Coordination

  • Support the smooth day-to-day operation of the Sydney office, acting as the first point of contact for visitors, building management and general queries.
  • Maintain office supplies, kitchen, meeting rooms and shared spaces - including daily upkeep of kitchen, dishwasher and coffee machine.
  • Coordinate couriers, deliveries and daily mail management.
  • Monitor company car registers and coordinate bookings for staff.
  • Assist with the organisation of staff gifts, awards and stakeholder thank-you items.
  • Escalate facilities issues as needed and provide ad-hoc support across the business.

Events & Culture

  • Assist with organising internal events, team activities and office initiatives - from leadership off sites and team lunches to end-of-year celebrations.
  • Coordinate catering and logistics for meetings and small events.
  • Support ad-hoc travel bookings including flights, accommodation and car hire.
  • Partner with the People & Talent team on culture initiatives and in-office experiences.

Requirements

About You

This role is for someone who takes pride in making things work - someone who's proactive, organised and energised by variety.

You will bring:

  • 2–3 years' experience in an administrative or coordination role, ideally with exposure to supporting senior stakeholders.
  • A proactive approach - you anticipate needs, take initiative and follow through reliably.
  • Excellent written and verbal communication skills, with the ability to engage professionally across a range of stakeholders.
  • Strong attention to detail and the ability to manage multiple priorities in a dynamic environment.
  • Sound judgement when handling sensitive or confidential information.
  • A positive, can-do attitude and a genuine enjoyment of being the person who holds things together.

Highly regarded:

  • Prior experience in an Executive Assistant capacity.
  • Experience working in a tech, SaaS or high-growth scale-up environment.
