Description:

We are seeking a talented individual to join our team at Guy Carpenter. This role will be based in Pembroke, Bermuda. This position is full-time onsite.

This position is responsible for performing a full range of administrative duties for the Bermuda office, providing accurate, timely and efficient administrative support for colleagues and client visitors for the officer.  This support role performs and/or oversees a variety of administrative, fiscal; staff support and planning activities, some of which require specialized knowledge and skills, such as budget administration and control, equipment, facilities, inventory management, and/or special events as appropriate. 

We will count on you to:

  • Manage calendars, schedule meetings and appointments, coordinate conferences and company activities, and assist with department travel arrangements to support productivity.

  • Process and coordinate expense reports in a timely manner.

  • Oversee office support operations, including answering telephones, resolving inquiries, reviewing incoming and outgoing correspondence, and following up on operational commitments.

  • Manage office support workflow and resource allocation while maintaining quality assurance and client satisfaction.

  • Schedule conference rooms and coordinate all meeting logistics, including room setup/cleanup, catering, and audio/visual or IT support.

  • Issue purchase orders for office needs and maintain purchase order files.

  • Keep company information current, including colleague profiles, bios, and headshots; support client and market coordination activities, including entertainment, schedules, dining, transportation, catering, visitor greetings, and Bermuda office hospitality.

  • Maintain records procedures, provide technical and administrative support, uphold Guy Carpenter professional standards, and perform other duties as required.

What you need to have:

  • High school diploma and 3+ years of recent experience in a similar role.

  • Proficiency in MS Word, Excel, Access, and PowerPoint, with the ability to research using the internet.

  • Strong administrative judgment, including the ability to make procedural decisions and prioritize effectively.

  • Excellent verbal and written communication skills, with a professional appearance and telephone manner.

  • Ability to gather data, compile information, prepare reports, and interface effectively with employees and management at all levels.

  • Strong organizational, analytical, and detail-oriented skills, with the ability to manage multiple priorities, work under pressure, meet deadlines, and follow instructions accurately.
