Administrative Assistant

HOAMCO is seeking a detail-oriented Administrative Assistant to provide dedicated administrative support for an on-site community association in Las Vegas. This position requires an individual who excels at customer service, organization, and ability to prioritize tasks in a fast-paced environment, while handling interruptions as part of the routine, and maintaining professionalism.

The ideal candidate will possess strong communication skills, critical thinking abilities, and a commitment to delivering exceptional service to homeowners, board members, and managers.

This is a full-time position.

Qualifications:

  • Excellent verbal and written communication skills
  • Strong customer service orientation
  • Previous Homeowners Association (HOA) experience a plus
  • Ability to prioritize workload and manage tasks in a fast-paced environment
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • Strong organizational and administrative skills
  • Handle a broad range of administrative duties autonomously
  • Critical thinking and problem-solving skills
  • Professional demeanor with attention to detail and commitment to accuracy

Duties:

  • Provide dedicated administrative support to an on-site Las Vegas community.
  • Utilize Microsoft Word, Excel, Outlook, and other software applications to complete projects and assignments.
  • Utilizing systems and programs to compile Monthly Management Reports, board packets and supporting documentation for the community association manager.
  • Address in-person inquiries at the on-site office, telephone calls, and emails while managing ongoing projects and assignments.
  • Deliver exceptional customer service to homeowners, board members, and vendors.
  • Create and distribute professional, polished written communications.
  • Conduct weekly site visits to evaluate community conditions, confirm compliance, assess property conditions, and proactively identify issues requiring attention.
  • Coordinate with all community vendors to effectively manage contracts, services, and work orders.
  • Assist with special projects and perform additional duties as assigned.
