About the Role

Wellington Management seeks a Floater Administrative Assistant to provide flexible coverage across a variety of administrative roles within our firm. This individual will step into different assignments as business needs arise, including covering employee absences, supporting open roles, assisting during peak workload periods, and contributing to special projects.

The ideal candidate will be highly adaptable, service-oriented, and able to quickly get up to speed in new environments. This individual will bring strong judgment, attention to detail, and the ability to manage shifting priorities while providing seamless, high-quality administrative support to a range of teams and stakeholders.

RESPONSIBILITIES

Responsibilities may vary by assignment and will include, but are not limited to:

·Providing flexible administrative coverage across multiple teams, roles, and business areas as needs arise

·Quickly learning stakeholder preferences, team processes, and role-specific expectations to provide seamless support

·Building strong, collaborative relationships with a broad range of stakeholders while adapting to different working styles

·Domestic and international travel itineraries and arrangements

·Extensive logistical coordination of meetings with various internal and external constituencies

·Producing various detail-intensive materials including client reporting, presentation materials, meeting prep packets, etc.

·Processing expense reports accurately and in a timely manner

·Supporting a variety of projects, special events, visitors, and ad hoc administrative needs

QUALIFICATIONS

·Experience providing administrative support in a fast-paced, professional environment; investment management experience will be viewed favorably

·Exposure to global contexts, whether professionally and/or personally

·Advanced proficiency in MS Office with an ability and desire to learn new technology to drive efficiencies

·Demonstrated strong detail orientation, diligence and overall high work quality

·Excellent organizational, multi-tasking, and prioritization abilities, with comfort shifting between assignments and responsibilities

·Ability to quickly build context, learn new processes, and provide effective support with limited ramp-up time

·Proactive problem-solving skills and an anticipatory mindset

·High level of reliability, professionalism and discretion

·Ability to work under deadlines and to accommodate last-minutes changes

·Typical work schedule is 8 am – 5 pm. Flexibility and overtime may be required by business circumstances

·Standard hybrid schedule includes working remotely 1 day a week

At Wellington Management, our approach to compensation is designed to help us attract, inspire and retain the best talent in our industry. We strive to pay employees fairly and competitively across all levels and roles. Our approach to compensation considers all aspects of total compensation; all employees are eligible to receive salary, variable compensation, and benefits. The base salary range for this position is:

USD 60,000 - 110,000

This range takes into account the wide range of factors that are considered when making compensation decisions, including but not limited to skill sets; role; skills and experience; certifications; and education. This range is an estimate, and further details on salary and total compensation aspects will be shared with candidates during the recruitment process.   

 

Base salary is only one component of Wellington’s total compensation approach. Other rewards may include a discretionary Corporate Bonus and/ or Incentives, if eligible.
