JOB TITLE:  Administrative Assistant

ORGANIZATIONAL UNIT: Housekeeping

SUPERVISOR: Director of Housekeeping

FLSA: Salary/Exempt

Pay Range:  $30,000 -  $50, 000

ALL FULL TIME POSITIONS: In addition to your pay, your salary also includes Medical, Dental and Vision Insurance. The Biweekly deduction from employee paycheck is $40.00 for Employee Only, $95.00 Employee plus Children, $120.00 Employee plus Spouse, and $140.00 Employee plus family.  

JOB SUMMARY: The purpose of this position is to provide clerical and administrative support for the Housekeeping Director and others as assigned.

ESSENTIAL FUNCTIONS:

  • Answers multi-line telephone system. Directs calls to the appropriate person or department. Takes message when the person is not available.
  • Types letters, memos, reports, contracts, agreements, and various other correspondence 
  • Assist the Director with arrangements of meetings, preparations of the agenda, monthly meeting reports, recording, and preparation of minutes of meeting, and composing and typing correspondence and reports for the Citizen Potawatomi Nation.
  • Data entry and retrieval on Nav System for Accounting. 
  • Serves as recorder for various Committees.
  • Plans Reunion Hall setups and coordinates schedules. 
  • Administers personnel and programmatic actions at the direction of or in the absence of the Director.
  • Plans Training to ensure that employees are up to date on Safety precautions. 
  • It is mandatory to work annual Family Festivals and Balloon Festival as housekeeping is a vital part of these events.   

ADDITIONAL DUTIES:

  • Perform other duties and projects as required by management.

KNOWLEDGE, SKILLS, AND ABILITIES: 

  • Excellent written and verbal communication skills.
  • The ability to work well with others, including professional staff.
  • Good organization and analytical skills.
  • Working knowledge of computers. 
  • The ability to use word processing and spreadsheets.

MINIMUM QUALIFICATIONS FOR CONSIDERATION: 

  • Five years or more experience in an office environment.
  • One year working closely with management.

PHYSICAL REQUIREMENTS: 

  • The ability to stand or sit for prolonged periods of time.
  • The ability to do repetitive work at the computer is required.
  • Stretching, bending, stooping, kneeling and some lifting may be required.
  • Occasional lifting up to (50lbs). 

WORKING CONDITIONS:

Normal office environment
