The Snr Administrative Assistant is responsible for administrative, clerical, and secretarial support to the group’s Managers, Supervisors, and Area Manager.
Responsibilities- Supports & coordinates with internal and external resources (operations, service, accounting, project management) and brings significant problems encountered to the manager’s attention.
- Responsible to follow all applicable company and corporate policies, guiding principles, procedures and programs; including but not limited to the process map, support processes, health, safety and environmental requirements.
- Verify and enter information into the database.
- Update and balance the General Ledger.
- Filing duties.
- Generate and create reports as requested.
- Telephone and personal greetings, direction and assistance.
- Provide assistance to the group with Sales Orders, Invoices, and Purchase Orders as needed.
- Track, organize, and maintain U.S. orders.
- Review and evaluate service reports for completion.
- Enter information from reports into database.
- Complete documents and submit for invoicing.
- Assist in scanning and photocopying.
- Word processing, e-mail, and administrative support.
- Office management responsibilities including office supply orders.
- Change person on-call every Monday
- Update Critical Vendor list once a year.
- NRPI once a year, update AIMS, keep post lists updated.
- Enter shop hours weekly into timekeeping system.
- Process cheque requests.
- Other duties as assigned.
- Good Communication skills (verbal and written)
- High School Diploma or GED preferred
- 5 years+ experience in a related field required
- Microsoft Office & Outlook knowledge is required
