What We'll Bring:
This Administrative Assistant / Receptionist is part of the Facilities team, and is responsible for essential front-desk support, and ensuring a positive first impression for visitors, clients, and employees. The position also provides administrative assistance and document management to support daily operations.What You'll Bring:
This role will partner and collaborate with stakeholders across Finance, IT, Marketing and Communications, Human Resources, Facilities, the Inclusion and Belonging Group, the Activities Committee, and the Leadership Team.
This is an essential position and involves regular performance of job responsibilities in-person at an assigned TU office location.
Answer incoming phone calls and manage caller inquiries or requests in accordance with internal procedures.
Greet and assist visitors, suppliers, and clients with professionalism and courtesy.
Provide administrative support including filing, email handling.
Coordinate with courier services to ensure timely and accurate handling of incoming and outgoing deliveries of IT assets. This includes scheduling pickups, tracking shipments, managing delivery documentation, and receiving and delivering equipment transported by couriers.
Prepare documentation and administrative reports as needed.
Assist with scheduling meetings and coordinating basic calendar activities.
Maintain an organized reception area and manage office supply inventories.
Provide basic backup support to the Facilities Specialist, assisting with routine administrative coordination, without responsibility for specialized or technical functions.
Impact You'll Make:
Technical degree or diploma in Secretarial or related field.
Relevant experience in administrative or similar roles, or demonstrate ability to perform related functions.
Intermediate proficiency in Microsoft Office (Word, Outlook, Excel).
Advanced English level proficiency for telephone and visitor reception.
Demonstrated ability to provide efficient customer service, organizational skills, and confidentiality in handling information.
