Administrative Assistant (English/Spanish)
We are seeking a highly organised and experienced Bilingual (English/Spanish) Administrative Assistant to ensure the smooth and efficient operation of our office. Reporting to the ASG Manager LATAM, this role will primarily oversee front-of-house responsibilities, ensure effective housekeeping, and provide administrative support as needed.
Key Responsibilities
· Provide a high level of administrative support to departments which will be assigned by the ASG Manager.
· Manage and update calendars, scheduling meetings, and coordinate conference calls and video conferences.
· Prepare, format, translate, and finalise documents or presentations as required.
· Coordinate travel arrangements for staff, including domestic and international bookings (hotels, flights, taxis).
· Monitor and maintain the inventory of office supplies and postage, preparing restock requests for approval as required.
· Provide coverage to the main reception position when needed, acting as the first point of contact for visitors, delivering a professional and welcoming experience.
· Undertake ad hoc projects as required.
Qualifications
· Bilingual proficiency in English and Spanish is essential.
· Proven ability to prioritise tasks and meet deadlines in a fast-paced environment.
· High attention to detail and strong organisational skills.
· Excellent interpersonal skills and the ability to work collaboratively in a team setting.
· Self-motivated with a proactive and resourceful attitude.
· A minimum of 3–5 years' experience in a similar role.
· Professional telephone etiquette and strong verbal communication skills.
Education and Skills
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
· Desirable: an academic or training background in interpreting, translation, administration, public relations, or related fields.
