                                                               Administrative Assistant & Benefits Coordinator – H.R.                 

Job Summary:

The Administrative Assistant & Benefits Coordinator – H.R. provides administrative and clerical support to the Human Resources department while coordinating and processing employee benefit programs. This position serves as a resource to employees regarding benefits, assists with HR-related documentation and records, and ensures benefit enrollments, changes, deductions, and related paperwork are processed accurately and timely.

The position is responsible for maintaining confidential employee records, preparing correspondence and reports, coordinating HR administrative activities, assisting with employee onboarding and offboarding processes, and supporting the Human Resources Director with day-to-day departmental needs. The Administrative Assistant & Benefits Coordinator works closely with employees, insurance carriers, benefit vendors, payroll, and management to resolve questions and ensure accurate administration of employee benefits.

Essential Duties/Responsibilities:

 

  • Serve as a professional and approachable first point of contact for the H.R., Medical Records, and Credentialing department
  • Answer HR Phone Calls and Voicemail
  • Maintain professionalism and discretion when handling sensitive employee information and workplace concerns.
  • Provide daily administrative and clerical support to the Human Resources department.
  • Maintain confidential personnel files and HR records in accordance with organizational policies and applicable requirements.
  • Enter and maintain employee information in the HR/payroll system and other applicable systems.
  • Prepare routine HR correspondence, forms, spreadsheets, reports, lists, and other documents.
  • Assist with processing employment status changes, including new hires, transfers, promotions, pay changes, leaves, and terminations.
  • Assist with employee onboarding and offboarding processes, including required paperwork, system updates, benefit information, and other administrative tasks.
  • Assist with employment verification requests and other routine HR inquiries.
  • Coordinate and maintain HR calendars, deadlines, meetings, and departmental projects.
  • Assist with maintaining employee contact information and other HR-related data.
  • Assist with filing, scanning, copying, electronic record maintenance, and other general office functions.
  • Provide administrative support for employee meetings, training, and HR department activities.
  • Coordinate the day-to-day administration of employee benefit programs, including medical, dental, vision, life, disability, voluntary benefits, retirement-related benefits, and other programs offered by the organization.
  • Process new hire benefit enrollments, qualifying life event changes, benefit cancellations, and other employee benefit changes accurately and within established deadlines.
  • Assist employees with benefit questions and provide general information regarding eligibility, enrollment procedures, plan options, deductions, and available resources.
  • Review benefit elections and changes for accuracy and completeness.
  • Coordinate benefit information and changes with insurance carriers, benefit vendors, payroll, and other applicable parties.
  • Monitor benefit deductions and assist with identifying and resolving discrepancies.
  • Assist with annual open enrollment activities, including employee communications, meetings, enrollment materials, system updates, and follow-up.
  • Maintain accurate benefit records and documentation in the HR/payroll system.
  • Assist with reconciliation of benefit invoices and employee deductions as needed.
  • Track employee eligibility and benefit changes associated with employment status changes, leaves of absence, and other qualifying events.
  • Assist with required benefit notices, forms, and documentation.
  • Maintain knowledge of benefit plans, policies, procedures, and applicable administrative requirements.
  • 401K Investment Review Committee member
  • Administration of leaves of absence, FMLA, FAMLI
  • Administration usage of PDO’s, HFWA usage, and other leaves
  • Process forms (I.e. Workers’ Compensation and Unemployment Insurance)
  • Process forms for non-employee injuries
  • Safety Committee Representative for MSO – Contact for W.C. injuries and illnesses
  • Maintains Safety Data Sheet program and master file
  • Set up CPR Classes and Maintain CPR Certifications
  • Maintain car insurance and driver’s licenses
  • Blood Drive Coordinator
  • Maintain Provider list and location - Quarterly and disperse to managers and supervisors
  • Attends SHRM of Western Colorado Educational Monthly Programs
  • Create detailed protocols for Administrative Assistant and Benefit Coordinator- H.R. duties for efficient cross coverage
  • Perform miscellaneous job-related duties as assigned

Work Experience

 

  • Two or more years of administrative, human resources, benefits, payroll, or related experience preferred.
  • Experience working with employee benefit programs is strongly preferred.
  • Experience in a healthcare or medical office environment is beneficial.

 

Education Requirements:

 

  • High school diploma or equivalent required.
  • Associate degree or additional education in Human Resources, Business Administration, or a related field preferred.

The employee is expected to maintain strict confidentiality and follow all organizational policies and applicable laws governing the handling and disclosure of confidential information.

Working Environment:

 

This job operates in a professional office environment.  This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.

The Administrative Assistant & Benefits Coordinator – H.R.  is expected to provide dependable support to employees and the Human Resources department while ensuring that benefits and HR administrative responsibilities are completed accurately and within established deadlines.

 

Position Type/Expected Hours of Work

 

This is a full-time position for 40 hours.  Days and hours of work Monday through Friday, 8:00 a.m. to 5 p.m.  Occasionally work 6:30 a.m. for meeting preparation and evening work may be required as job duties demand.  Expected hours of work may change.
