About this role
Key Responsibilities
- Provide high‑quality administrative and business management support to the Institutional Client Business team
- Own end‑to‑end diary management for senior personnel, including proactive scheduling, prioritisation of meetings, resolution of conflicts, and coordination across multiple international time zones
- Act as a trusted gatekeeper, managing internal and external meeting requests thoughtfully and balancing competing priorities with sound judgment
- Schedule and manage audio/video conference calls and meetings with multiple participants across regions
- Support the broader team with travel coordination, expense processing, and general administrative needs as required
- Facilitate team‑wide and firm‑wide events, offsites, and meetings, and manage ad‑hoc administrative assignments
Key Requirements
- Proven experience as a Team Assistant, Executive Assistant, or Personal Assistant within a professional or financial services environment
- Experience supporting multiple senior team members simultaneously, with demonstrated ability to prioritise and manage conflicting demands
- Prior experience working in a global firm and collaborating across regions and time zones (preferred)
- High level of integrity and discretion, with experience handling sensitive and confidential information
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Strong verbal and written communication skills in English, Cantonese, and Mandarin
- Exceptional organisational skills with strong attention to detail and the ability to manage multiple tasks concurrently
- Confident and professional interpersonal style, with the ability to engage constructively with internal and external stakeholders at all levels
- Proactive, solutions‑oriented mindset; able to anticipate issues and act independently to resolve them
- Comfortable operating in a fast‑paced, matrixed environment; resilient, adaptable, and able to remain calm under pressure
- Strong time‑management skills and ability to deliver high‑quality output to agreed timelines
- Positive, collaborative team player with a strong work ethic and willingness to “roll up sleeves” when needed

Our hybrid work model
