We are looking for a dedicated and detail-oriented Account Manager Support Specialist to join our team and assist our Account Managers in nurturing relationships with our broker distribution partners.

Job Summary:

As an Account Manager Support Specialist, you will play a vital role in supporting our Account Managers in maintaining and growing our relationships with Medicare, Health and Life Insurance partners. Your primary responsibility will be to handle administrative and organizational tasks, ensuring our clients receive the highest level of service and satisfaction.

The Account Management Support Specialist supports the Growth Team and brokers by fully understanding the agent's lifecycle and assisting in the day-to-day administrative roadblocks hindering our brokers' production. This role is on a career growth trajectory that could lead to a Senior Account Manager role and more!

Job Description

Key Responsibilities:

1. Administrative Support:

  • Assist Account Managers in preparing and maintaining documentation related to Medicare broker agency relationships.
  • Take notes during meetings with Accounts, recap action items/next steps & transfer to CRM.
  • Manage the scheduling of meetings, calls, and appointments, ensuring timely follow-up.
  • Triage incoming support request from agents and agencies.
  • Initiate additional contracting and appointment requests.
  • Help with portal login and basic IT functions.
  • Act as a liaison setting up outreach events and building relationships/networking with local non-profits, medical providers, and community partners.
  • Coordinate trainings, webinars, and recruitment efforts.

2. Data Management:

  • Maintain accurate and up-to-date records of client interactions in our CRM system.
  • Compile, organize, distribute reports and statements for Account Managers to analyze and make informed decisions.
  • Review and translate ready to sell reports.
  • Gather market specific data re: top plans, membership rankings to help identify strengths & weaknesses for the geographic areas that are relevant to each account sent quarterly.

3. Client Communication:

  • Act as a point of contact for clients, addressing inquiries and providing information or directing them to the appropriate Account Manager.
  • Assist in drafting and sending out routine communication, updates, and reports to clients.
  • Support consumer facing communication efforts.

4. Onboarding and Training:

  • Assist in onboarding new agents/agencies, helping them understand our services, policies, and procedures.
  • Provide training and support to clients on using our systems and tools.
  • Create market specific cheat sheets that include carrier local contact info., State DOI licensing info for the areas they serve.

5. Document Management:

  • Organize and maintain documents, contracts, and agreements related to Medicare broker agency relationships.
  • Ensure CRM systems is up to date with the required agent/agency information.
  • Maintain library of marketing materials
  • Manage Inventory of collateral, provide to partners as requested

Key Performance Indicators:

• This role includes a base salary with a bonus earning opportunity.

• Bonus opportunity will be set based on percent to goal of set quarterly profit margins.

Requirements and Skills:

  • A high school diploma or equivalent; a bachelor's degree is a plus.
  • Previous experience in administrative or support roles is preferred.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in using Salesforce software, Microsoft Office, and other relevant tools.
  • Ability to work well in a team and independently.
  • Attention to detail and strong problem-solving skills.
  • Entrepreneurial spirit, creative, self-motivated go-getter, and strong work ethic
  • Strong written and oral communication skills, ability to multi-task
  • Strong computer skills and proficiency in data entry.
  • Exceptional organizational abilities to manage and prioritize multiple tasks effectively.
  • Attention to detail and accuracy to ensure error-free data entry and customer communication.
  • Strong problem-solving skills.
  • Bi-lingual preferred.
  • Experience with Medicaid state programs, medical office work preferred.
