Manage intake, vetting, and case management for J-1 Intern/Trainee exchange visitors, ensuring SEVIS and Department of State regulatory compliance, issuing and managing DS-2019/DS-7002 documents, onboarding and overseeing hospitality host organizations, supporting audits, and providing participant guidance and incident management throughout program lifecycle.

Provide administrative support for immigration filings: gather client documents, sort/scan mail, print and compile petitions for USCIS/Consulate, update case data and critical dates in INSZoom, perform data audits, place USCIS/NVC inquiries, and support attorneys and managers to meet deadlines.

Expand and close new host employer accounts for J-1 Visa programs: generate and qualify leads, build relationships, conduct meetings and presentations, secure compliant training agreements, maintain CRM pipeline, represent the company at events, and collaborate with sales and leadership to drive revenue.

Support J-1 Cultural Exchange teachers in San Francisco by coordinating arrival logistics, maintaining relationships with teachers and schools, documenting visits, ensuring compliance with Department of State regulations, and collaborating with domestic and international teams. Frequent local travel and use of a vehicle required.

Own a portfolio of host school districts as the primary account manager, using HubSpot to track engagement, manage onboarding, resolve escalations, and drive retention. Collaborate cross-functionally to support J-1 Teacher applications, document interactions, report on account health, and recommend process improvements.

Support in-house counsel by drafting and managing contracts from templates, maintaining legal records, tracking deadlines, conducting legal research, assisting with compliance monitoring and policy development, preparing filings and reports, and providing administrative support to the legal team.

Serve as primary insurance liaison for J-1 sponsors and participants: enroll J-1/J-2 in compliant plans, manage relationships with insurance vendors, maintain audit-ready documentation, support participants with claims and coverage questions, provide training/resources, review invoices, track metrics, and recommend process improvements.
