Serve as front-line office contact: manage switchboard, greet visitors, handle mail/couriers, schedule boardrooms, perform clerical tasks (filing, typing, basic accounting, AP support), maintain office supplies and equipment, manage social media/Litmos postings, assist onboarding and asset tracking, and support office events.

Support talent development, succession planning, and regional HR initiatives while traveling up to 25% nationally.

Responsible for billing and cost control: coding and reconciling payments in JD Edwards, accurate invoicing, supporting A/R and A/P documentation, coordinating billing team tasks, assisting forecasts and collections, managing client communications, and performing administrative documentation control in a fast-paced environment.

Support project sales across a regional client base: qualify opportunities, scope and estimate work, prepare quotes and documentation, manage CRM, coordinate project execution, schedule resources, handle invoicing and vendor approvals, and assist account management and asset documentation.

Process end-to-end hourly unionized payroll including direct deposits, new hires, terminations and ROEs. Work with unions to update wage schedules and reconciliations. Respond to payroll inquiries and prepare year-end filings (T4, RL1, T2200). Maintain accurate records and meet payroll deadlines.

Lead development and delivery of competitive procurement responses for the Facilities Services division. Manage proposal timelines, coordinate SMEs and corporate contributors, develop and edit technical and commercial content, ensure compliance with terms and quality standards, liaise with clients and subcontractors, and produce final submission packages.

Support Project Manager by tracking cost, schedule, quality, and project status; prepare specs, estimates, schedules, reports; coordinate trades and subcontractors; manage document control, purchasing, quality control, and client/vendor relationships.

Design and layout electric utility and communications distribution systems, perform pole loading analysis, maintain GIS records, produce construction work orders, perform AutoCAD drafting and ArcMap updates, occasionally collect field data, follow NESC/NEC codes, and collaborate with engineers and designers to deliver projects on schedule.

Support and promote a safe, incident-free work environment by ensuring compliance with corporate, regional, and regulatory safety policies (OSHA, FMCSA). Develop policies, conduct training, perform incident investigations and jobsite audits, and assist with workers' compensation management.

Provide administrative, scheduling, financial, and document-control support to Project Managers. Maintain project schedules, track costs and change orders, manage purchase orders and work orders, support invoicing and closeout, coordinate technicians/subcontractors, and ensure compliance, reporting, and stakeholder communication across project teams.

Manage facility and non-facility construction projects across GTA/Southern Ontario: develop scopes, schedules, budgets, contracts, quality programs, supervise subcontractors/staff, report progress, ensure compliance with safety and regulatory standards, support business development and audits, and provide technical guidance.

Lead implementation of the Quality Program on client sites, supervise QC inspectors, perform inspections/tests, prepare Inspection & Test Plans and Manufacturer's Data Reports, manage non-conformances, liaise with regulatory/inspection agencies, ensure compliance with nuclear codes, and support safety and QA processes.

Lead source surveillance and supplier quality management for pressure boundary components. Review and approve supplier quality plans, inspection/test plans, and fabrication records. Identify and resolve nonconformances, collaborate with procurement to enforce technical/code requirements, validate supplier capability, participate in audits and corrective actions, and produce QA site estimates.

Manage daily facility operations, lead onsite staff, oversee building systems (HVAC, electrical, plumbing), ensure health & safety and contract compliance, manage vendors, budgets, and client relationships to meet KPIs and service standards.

Manage B2B accounts receivable and collections: contact customers, investigate and resolve inquiries, process payments and deposits, post to the accounting system, prepare reports, lead A/R review calls, and coordinate with billing, controllers and project managers.

Provide regional HR support across Nova Scotia, New Brunswick, and Prince Edward Island. Responsibilities include onboarding/offboarding, employee engagement, full-cycle recruitment, employee relations and investigations, performance management, benefits administration, and partnering with operations on talent and development initiatives. Regular travel to regional offices is required.

Lead construction projects from pre-construction through closeout, managing schedules, budgets, contracts, subcontractors, and project teams. Ensure compliance with company policies and safety standards, maintain client and vendor relationships, prepare progress reports, and identify and mitigate project risks.

Coordinate and execute Additional Work Requests (AWRs): create and manage work orders, coordinate teams and subcontractors, ensure site readiness, track progress and WIP, compile project documentation, prepare draft billing packages, and support billing handoff. Provide regular status updates and perform administrative duties to ensure projects meet schedules, scope, and billing readiness.
