Purpose of Position

You will act as the local operational point of contact for the Chicago office, ensuring employees receive a seamless workplace and technology experience while connecting between the Americas region and Awin’s global support teams. 

This role combines office operations, employee support, equipment logistics and workplace coordination. You will represent Awin as the first point of contact for our clients and visitors, help coordinate the day-do-day running of the office, support onboarding and offboarding activities, manage local equipment and inventory processes, and ensure colleagues can quickly access the support and resources they need. 

You will play a key role in creating a productive, well-organized and welcoming office environment while supporting the successful delivery of Awin’s global workplace and technology services across the Americas 

Please note: This position requires regular in-office presence in our Chicago office. 

Key Tasks 

  • Organize the full day-to-day operation of the office and coordinate service providers, including Facility Management, Catering, Cleaning, and other workplace partners. 
  • Create a positive, welcoming, and productive workplace environment for employees, guests, and clients, providing a friendly and service-oriented experience both in person and by telephone. 
  • Oversee occupational health and safety matters, ensuring compliance with local regulations and company standards. 
  • Coordinate office-related projects and support global office management initiatives where required. 
  • Carry out other office management and administrative duties as required to ensure the smooth running of the office. 
  • Act as the local liaison between Americas employees and Awin’s global support and enablement teams regarding internal IT-related matters, coordinating with internal and external vendors as required. 
  • Coordinate onboarding and offboarding activities for local employees, including workspace and equipment arrangements. 
  • Manage equipment logistics, including provisioning, shipping, recovery and storage of company assets. 
  • Perform asset management and inventory control activities, ensuring records remain accurate throughout the equipment lifecycle. 
  • Provide basic first-line technology support and coordinate escalations through established global support processes. 
  • Manage the North American President’s calendar, travel and process travel expenses. 
  • Organise occasional offsites, business dinners, travel logistics and hotel arrangements. 

Skills & Experience

  • At least two years of professional experience in a service-oriented role, such as an office, hospitality, hotel, or similar environment. 
  • Above-average client and service orientation. 
  • Professional communication with external and internal clients at all levels. 
  • Strong organizational skills and excellent time management. 
  • A proactive approach and a high level of motivation. 
  • A very high level of reliability, results orientation, and a strong focus on quality. 
  • Good working knowledge of Microsoft Office.

Compensation Range: $55k - $63k/annually
