About this role

As our Workplace Operations Coordinator, you will play a key role in empowering everyday convenience right from our Brussels office. Joining our fast-paced Workplace Operations team, you will focus on teamwork, collaboration, and driving operational excellence to support our local team's success.

Location: Brussels, Belgium (5 days a week from our Brussels office)

These are some of the key components to the position:

  • Workplace Operations: Coordinate day-to-day facilities operations, including managing helpdesk (Jira) tickets (POC for ticketing and update of open tickets) and addressing maintenance issues.
  • Maintenance: Liaise with suppliers for repairs, maintenance, and office needs, ensuring smooth operations at all times. Communicating on Planned Preventive Maintenance activities as well as issues that occurred at site and need to be resolved/fixed. .
  • Purchasing & Budget Control: Oversee local workplace spending, raise Purchase Orders, reconcile invoices, order goods/service,  and collaborate with finance to eliminate budget overspends.  
  • Data Reporting: Maintain accurate tracking sheets for fleet and energy data to support efficient workplace operations. 
  • Vendor & Landlord Relations: Partner with suppliers and the landlord for smooth contract management and high-quality facilities delivery. 
  • Health, Safety & Security Compliance: Support global HSS team, serve as the emergency contact, and keep critical compliance certificates up to date. 
  • Office Communication: Manage site Slack, email, and post channels efficiently to ensure seamless information sharing across the workplace 
  • Ad Hoc Operations Projects:Support site with Ad Hoc projects, collaborating closely to help the wider team succeed.
  • Meeting & Event Support: Collaborate with internal stakeholders to set up rooms and arrange catering for flawless company events.
  • Dedicated Fleet Support: Partner with the global fleet team to manage company vehicles and assist with employee enquiries.

What will you bring to the team?

  • Fluent in English & French, Dutch is a plus!
  • Experience in administration, facilities support, or a related operational field.
  • Practical exposure to facilities or office management processes, gained professionally or through community activities.
  • A proactive, multitasking mindset with excellent organizational skills to handle daily office priorities.
  • Professional proficiency in spoken and written English to ensure seamless communication.
  • Knowledge of Google Suite tools to support tracking sheets and data reporting.
  • A passion for creating excellent workplace experiences and an interest in building a career in facilities management.
