What You Will Do Daily:
- Reception partnership and coverage: Partner daily with the Austin Receptionist (primary owner of reception and front‑of‑house) to coordinate handoffs, playbooks, signage, and service standards; provide planned/unplanned backup coverage as needed (e.g., lunch, PTO, sick leave).
- Office operations: Keep the office clean, tidy, and functional; ensure non‑IT equipment is operational (e.g., coffee/water machines, extinguishers); track and resolve maintenance issues; liaise with landlord/building and vendors.
- Supplies and inventory: Maintain appropriate levels of office, kitchen, and SWAG supplies; oversee ordering, storage, and distribution; ensure fruit and similar programs run reliably.
- Employee lifecycle support: Coordinate on‑site candidate assessments, support New Joiners’ first days, assist with leavers’ procedures, desk moves, and cross‑office visits.
- Space and bookings: Support meeting room bookings and basic seating/space adjustments; keep online floor plans and booking tools accurate.
- Health, safety, and compliance: Coordinate scheduled maintenance tests and checks; report incidents; maintain a safe and welcoming environment.
- Vendor and contractor coordination: Supervise on‑site vendors (e.g., cleaning, maintenance); ensure quality and service levels; track work orders and interventions.
- Local events and experiences: Plan and run recurring in‑office moments (e.g., breakfasts, BBLs) and selected local events; contribute to company‑wide events and office projects led by other teams.
- Travel support (operational): Assist SonarSourcers and guests with travel questions and guest trips; coordinate with Travel services on visas and policy clarifications.
- Request and SLA management: Triage and resolve Workplace Experience tickets in JSM; meet SLAs; communicate clearly and proactively with requestors.
- Communications: Share timely updates about disruptions, building works, and office changes; maintain clear, service‑oriented messaging and signage.
- Continuous improvement: Monitor satisfaction and service metrics; propose and implement pragmatic enhancements to processes, tools, and the employee experience.(clear bullet points about the daily work)
The Experience You Will Need:
- 3–5+ years in office coordination, facilities, hospitality, or workplace operations for a 100+ person site.
- Proven track record running front‑of‑house and day‑to‑day office operations with high service standards and attention to detail.
- Strong vendor and stakeholder coordination; ability to supervise contractors and hold partners accountable for outcomes.
- Customer‑centric mindset with excellent communication; calm and solution‑oriented under time pressure and context switching.
- Solid organizational and prioritization skills; autonomous, proactive, and hands‑on — makes things happen.
- Comfortable with modern workplace tools and quick to learn: Google Workspace; ticketing (e.g., JSM); visitor/access/booking systems.
- Basic purchasing/budget awareness; able to manage inventories and small operational budgets responsibly.
- Language: Fluent English required.
- Given the scope of this position, this person will be required to be on-site 5 days a week in our Austin office from 8-5pm
- This role requires frequent asynchronous collaboration with the squad, highlighting the need for highly effective communication across different time zones.
- Given the US time zone difference, you are expected to self-manage your daily operations, with direct support from the squad primarily available during your morning hours.
