Role Purpose
This role exists to make the SafetyCulture Manila office a place people genuinely want to be — owning the day-to-day workplace experience, the annual events and culinary program, and the health, safety, and business continuity standards that keep the office running smoothly and compliantly.
Key Responsibilities
● Own the end-to-end Manila office experience — facilities, procurement, and pantry/office inventory — ensuring the space is always welcoming, organised, and friction-free
● Create a standout arrival experience for guests and new starters alike, from visitor check-in, room setup, and catering to onboarding logistics (desks, building access, welcome kits) so every visit and every new hire starts strong
● Own the annual events and culinary program, partnering with providers to deliver a calendar of on- and off-site initiatives — including the end-of-year event and milestone celebrations — that keeps employees engaged and connected
● Propose and manage the annual Manila workplace budget, owning forecasting, invoice processing, and vendor contract tracking to keep spend accountable and vendor relationships strong
● Partner with the IT team on meeting room technology, AV equipment, printers, and access systems to keep day-to-day office technology running without friction
● Own Occupational Safety & Health (OSH) compliance, local business continuity and disaster recovery planning, and business compliance support for the Manila office, in partnership with internal subject matter experts
● Maintain clear workplace documentation (SOPs, Confluence pages) and use feedback and data — including monthly dashboards on occupancy, vendor performance, budget, and employee experience — to continually evolve the workplace experience
● Represent global Workplace Experience brand standards locally, partnering with the global team to ensure global initiatives land well in Manila
Required Skills & Experience
Technical Skills
● Comfortable operating within a ticketing system, understanding that no asset work is actioned without a valid ticket
● Experience coordinating events of varying scale, from weekly team meetings to large off-site celebrations
● Able to manage office operations — supplies, vendor relationships, facilities coordination — without close oversight
● Tracks office assets, seating plans, lockers, and inventory accurately and proactively
● Coordinates onboarding logistics end-to-end, from desk setup to building access and welcome kits
● Partners effectively with IT on meeting rooms, AV equipment, printers, and access systems
● Maintains clear, up-to-date SOPs and workplace documentation
● Experience proposing budget inputs, forecasting spend, and tracking/reporting against an approved budget
● Comfortable owning a local business continuity or disaster recovery plan, including maintaining and testing it over time
● Comfortable with Google Workspace and/or Microsoft 365, and picks up new workplace and AI tools quickly
● Familiarity with health and safety obligations in an office environment; willing to obtain and hold a relevant safety officer certification (e.g. Basic Occupational Safety and Health training, BOSH02 or higher) to own OSH compliance reporting directly

What You Need to Know
● Office/in-person: Full-time, 5 days per week on-site in the Manila office — a firm requirement given the role is the face of the office
● Shift work / non-standard hours: Some flexibility around event days may be needed occasionally
● Other: First aid, fire warden, and safety officer certification (e.g. BOSH02) required — training provided if not already held
