The Workplace Coordinator will be a part of the Workplace team and will wear multiple hats supporting the office and the employees. The Workplace Coordinator will be the first point of contact in the Bellevue office for employees, visitors, customers, and vendors. The role will be responsible for completing office operational and administrative tasks, including managing workplace workflows and systems, while also cultivating a positive and productive workplace.

What You’ll Do

  • Be present in the office, Monday through Friday from 8:30am - 5:00pm PT, and be there at times when no one else is for special projects and moves

  • Keep the Bellevue office running with respect to the day-to-day operations, vendor relationships and associated services, employee health and safety compliance, and facility maintenance

  • Greet employees, visitors, customers, and vendors, making them feel welcome and comfortable, and creating a positive workplace experience and environment for all

  • Maintain and manage the conference rooms, keeping them clean, neat, and well stocked

  • Keep the office tidy, clean, stocked, and organized

  • Restock all kitchen snacks, drinks and office supplies

  • Manage inventory and order all office and kitchen supplies while tracking spend and working within the office budget

  • Process and distribute incoming mail and packages and fulfill any shipping requests

  • Work closely with IT for equipment or accessory requests from employees

  • Manage the lunch service account

  • Manage the intercom system and the visitor registration system and implement Lambda’s safety and security protocols

  • Stay on top of upcoming onsite meetings, including understanding the attendee list, their specific needs, and preparing the space for the meeting

  • Build relationships with external parties (contractors, suppliers, etc.) and with building management, maintenance, and cleaning staff, including quality control, vendor accountability, and delivering feedback

  • Work with property management for visitor access and building maintenance requests

  • Routinely update and maintain the emergency plan and educate employees on emergency protocols and resources

  • Manage office seating plan and assist with office moves and relocations

  • Design and deliver inclusive and thoughtful office events and experiences, managing all aspects including planning, communications, food and supply ordering, décor, setup, and cleanup

  • Answer workplace tickets in a kind and timely manner

  • Support and provide back-up for the Workplace team

  • Assist with ad-hoc projects when time allows

You

  • 1-3 years experience in facilities, workplace operations, office administration, or hospitality

  • Have experience working in a fast paced work environment

  • Proficiency with G-Suite Products

  • Genuine passion for supporting others and possesses a positive attitude

  • Capable of anticipating others' needs and act with patience, kindness, and firmness

  • Excellent written, non-verbal, and verbal communication skills

  • Ability to work well with various personality types and are receptive to feedback, while also maintaining a high degree of professionalism and confidentiality

  • Ability to learn software quickly

  • Excellent organization, planning, and prioritization skills

  • Exceptionally strong ownership and can-do attitude with an operational mindset

  • Comfortable working autonomously, juggling multiple tasks under tight deadlines, switching gears at the drop of a hat, and having a “no task too small” mentality

  • Willingness to jump in where needed, picking up projects and checking things off lists even when it lands on your plate unexpectedly

  • An eye for detail with regards to all things from process to projects to space to events

  • The ability to maintain a professional and kind game face even when things aren’t going as planned or desire

  • A propensity for problem solving quickly and quietly

Salary Range Information

This is a salaried non-exempt role, eligible for overtime. The annual salary range for this position has been set based on market data and other factors. However, a salary higher or lower than this range may be appropriate for a candidate whose qualifications differ meaningfully from those listed in the job description.
