Workplace Coordinator
We have an opportunity for a Workplace Coordinator to join our Workplace Operations – Facilities & Events team in our new Mexico City office, reporting to the Director, Workplace Operations and Events. In this pivotal role, you will serve as the primary front-of-house and day-to-day workplace operations contact for our new Mexico City Center of Excellence, ensuring a safe, professional, and high-performing environment for employees and visitors. Collaborating closely with Workplace Operations, Corporate Real Estate, IT, Security, People & Places, and local business leaders, you will help bring Infoblox’s global workplace standards to life in Mexico City, support the successful launch and ongoing operation of our serviced office, and contribute to our broader “AI-ready workplace” and hybrid-workplace strategy.
Be a Contributor — What You’ll Do
- Lead front-of-house operations and act as the primary workplace contact for employees, visitors, candidates, vendors, and building partners in the Mexico City office
- Coordinate employee support services — handling workplace inquiries, service requests, and wayfinding — with timely, professional responses and clear follow-through
- Manage daily workplace operations with the building operator (Spaces/IWG), including office access, building services, janitorial, maintenance escalations, and base-building issues
- Administer access control and security processes (badge activation/deactivation, visitor badges, audits), aligned to Infoblox global security and Emergency Response Team standards
- Coordinate day-to-day local vendors (catering, pantry/coffee, supplies, shipping/courier, office services), monitoring service quality, costs, and renewal dates with Workplace Operations and Procurement
- Support employee onboarding and offboarding logistics, including workspace readiness, welcome tours, orientation to workplace tools, and coordination with HR, IT, and hiring managers
- Oversee mail, shipping, and receiving, maintaining organized processes for deliveries, outbound shipments, and equipment returns in line with global SOPs
- Conduct regular workplace walkthroughs to identify safety, comfort, and maintenance issues; log and track remediation through ServiceNow, building portals, or vendor work orders through completion
- Use AI-enabled tools (e.g., Copilot, BloxMate) to summarize feedback, draft communications, standardize responses, and organize playbooks and checklists for recurring workplace workflows
- Support planning and execution of onsite events (all-hands, leadership visits, customer meetings, culture and community activities) including room setups, catering, vendor coordination, and day-of logistics
Be Prepared — What You Bring
- 2-4 years of experience in facilities, workplace operations, office coordination, hospitality, or a related customer-facing operations role, ideally in a hybrid or serviced-office setting
- Proven experience running day-to-day office operations (front-of-house, access control, vendors, supplies, mail/shipping, meeting-room readiness) with strong attention to detail and follow-through
- Strong customer-service mindset with the ability to build trust, communicate clearly, and support employees, leaders, and visitors in a fast-paced environment
- Experience working with building management and external vendors to resolve maintenance, safety, and comfort issues while meeting building rules and Infoblox standards
- Comfort with workplace and support tools such as Microsoft 365, Outlook/Teams, ServiceNow or similar ticketing platforms, and visitor/desk-booking systems (e.g., Envoy, OfficeSpace, Kadence)
- Interest in using AI-powered tools (such as Copilot or BloxMate) to boost productivity, standardize responses, create documentation, and spot patterns in tickets, feedback, and utilization data
- Ability to follow and enhance structured SOPs, checklists, and playbooks while adapting to new processes as Infoblox standardizes its global workplace model
- Strong organizational skills with the ability to prioritize multiple requests, coordinate small projects or events, and escalate risks or issues appropriately
- Bilingual fluency in Spanish and English, with strong written and verbal communication skills for local and global stakeholders

- Localize core global workplace SOPs, safety procedures, and checklists for the Mexico City site with Workplace Operations and Corporate Real Estate
- Implement consistent use of ServiceNow (or equivalent) and workplace tools for local requests, and begin tracking KPIs such as ticket volume, response times, and common issues
- Use AI-enabled tools to build and refine at least one repeatable playbook (e.g., new-hire onboarding, event support, vendor coordination) that reduces manual work and improves consistency
One Year:
- Be recognized as the trusted Workplace point of contact for the Mexico City Center of Excellence, with consistently positive feedback from employees, leaders, and visitors
- Maintain accurate, timely occupancy, utilization, and service data for the site and contribute regularly to global workplace dashboards and portfolio reviews
- Partner with Workplace Operations and Real Estate on at least one major initiative (such as office expansion, reconfiguration, or tool rollout) from planning through successful completion
- Demonstrate measurable improvements in service consistency, ticket resolution time, and/or employee workplace satisfaction, using data and AI-driven insights to recommend and implement enhancements
