Due to continued growth, we're looking for a Workforce Scheduler to join the Sodexo team.
Based at our Balcatta Head Office, this Six-month fixed term contract role offers a Monday to Friday schedule, along with the flexibility to work from home two days each week.
Reporting to the Workforce Scheduling Lead, you'll be responsible for sourcing labour from our contingency and agency relief pools to meet staffing demand across our Australian sites, as well as scheduling and managing our Time & Attendance payroll system for frontline employees
Job DescriptionWho are we looking for?

This role would suit someone from a site admin, mobilisation or recruitment background.
Role Responsibilities
- Maintain employee and site rosters in accordance with approved templates, systems and processes. Work closely with Talent Acquisition supporting site access (site specific) close out for new hires (as required).
- Ensure trackers, processes and reporting tools are followed, maintained and updated in accordance with work instructions/ best ways of working.
- Communicate in a professional manner with internal and external stakeholders providing an excellent customer/employee experience and a high level of customer service, providing a seamless experience for site managers and employees.
- Conduct weekly meetings with Sites as per the agreed national template encompassing all matters related to labour scheduling, vacancies, HR performance, time & attendance system utilization etc.
- Based on the roster, identify labour shortfalls to demand. Filling contingent labour requests to meet the demand by organising and assigning shifts to employees from contingent labour pools, ensuring they meet site access requirements
- Follow established processes and approvals regarding labour approved over histogram and appropriate categorisation
- Resources are scheduled, filling vacancies as per procedures, and within designated time frames.
- Ensure the contingent labour pool for the designated site/ region is at the right level, all site access is valid and in date, candidate availability is updated and known and relationships, multi-mode communication is used pending the importance of the request ie. Phone, Email, Text.
- Monitor site operational and labour changes due to unplanned absence or changes in forecast, ideally 3 weeks out from day-of-operations, at minimum 1 week
Knowledge & Skills
- Thorough understanding of recruitment, scheduling and rostering principles.
- Patience in dealings/ undertaking activities due to various interfaces.
- Ability to provide a high level of Customer Service.
- Ability to work in a methodical manner ensuring compliance to all elements.
- Ability to identify and manage (with collaboration) HR matters.
- Excellent English communication skills (reading, writing, and speaking).
- Excellent problem-solving skills. Effective time management skills and the ability to prioritise.
- Organisational Skills: Able to manage multiple schedules and shift plans with accuracy
- Business Administration (Desirable)
- HR Certification (Desirable)
- Secondary High School Certification
- An excellent knowledge of the Microsoft Office package, particularly Excel & Outlook
- Understanding of rostering principals
- Relevant experience in same or similar industry, FIFO experience preferred
- Excellent planning & people coordination skills
- Strong communicator who contributes to good working relationships
- Organised with effective time management skills
- Experience in a Payroll or Employment Relations role (desirable)
