POSITION SUMMARY

Entrega is seeking a highly organized, process-oriented Workforce Operations Coordinator to help operate the administrative processes that support our employees throughout the employment lifecycle.

This is an operations-focused role within our Human Resources organization. The Workforce Operations Coordinator is responsible for helping ensure workforce processes are executed accurately, consistently, and on time—from onboarding and employee changes through benefits administration, workforce records, compliance activities, and offboarding.

Working closely with the Senior HR Generalist and the Director of Workforce Performance & Operations, this role will maintain operational workflows, track activities through completion, maintain accurate workforce information and documentation, coordinate across employees and managers, and help ensure important administrative requirements do not fall through the cracks.

Prior Human Resources experience is not required. We are interested in professionals with strong business operations, project coordination, program coordination, administrative operations, or similar experience who demonstrate exceptional organization, accountability, attention to detail, and follow-through. We can teach the right candidate our HR processes and systems; we are looking for someone who already knows how to operate with discipline.

RESPONSIBILITIES

  • Employee Lifecycle Operations
    • Coordinate employee onboarding and offboarding activities from initiation through completion.
    • Prepare offer letters, employment documentation, and onboarding materials.
    • Coordinate background checks, employment verifications, and pre-employment activities.
    • Facilitate new hire orientation and onboarding logistics.
    • Process employee status changes, promotions, transfers, and separations.
    • Track required activities, documentation, and approvals to ensure employee lifecycle processes are completed accurately and on time.
    • Ensure employee records remain accurate and complete throughout the employment lifecycle.
  • Workforce Operations & Administration
    • Maintain employee records and HRIS data with a high degree of accuracy.
    • Coordinate benefits enrollment and employee benefits documentation.
    • Support leave administration and required documentation.
    • Manage workforce forms, templates, trackers, and standard documentation.
    • Maintain personnel files and employment records in accordance with company policies and legal requirements.
    • Coordinate HR-related vendor interactions as assigned.
    • Maintain recurring operational calendars, deadlines, and open action items.
    • Follow up with employees, managers, and internal stakeholders to drive outstanding requirements to completion.
    • Identify overdue, incomplete, or inconsistent activities and escalate issues when appropriate.
  • Compliance & Documentation
    • Assist with I-9 administration and employment eligibility documentation.
    • Support HR compliance initiatives and internal audits.
    • Ensure required workforce documentation is completed and maintained.
    • Track required employee acknowledgments and compliance activities.
    • Help maintain HR policies, forms, operating procedures, and process documentation.
    • Maintain reliable records demonstrating completion of required workforce activities.
  • Workforce Service & Employee Support
    • Serve as a primary point of contact for routine employee HR questions.
    • Coordinate and track responses to requests received through the HR inbox.
    • Assist employees with HR processes, forms, benefits, and general questions.
    • Escalate complex employee matters to the Senior HR Generalist as appropriate.
    • Deliver a responsive, professional, and service-oriented employee experience.
    • Help ensure employee and manager requests are acknowledged, tracked, and brought to resolution.
  • Reporting & Continuous Improvement
    • Prepare routine workforce reports and metrics.
    • Maintain operational trackers and provide visibility into open activities, deadlines, and completion status.
    • Assist with maintaining organizational charts and workforce reporting.
    • Support implementation of new HR processes, systems, and technologies.
    • Document standard operating procedures and recurring workflows.
    • Identify opportunities to improve efficiency, eliminate operational gaps, and standardize administrative processes.
    • Participate in HR projects and continuous improvement initiatives.


QUALIFICATIONS
The following qualifications reflect the experience, capabilities, and attributes typically required to perform successfully in this role.

  • Experience
    • 2–5 years of experience in business operations, project coordination, program coordination, administrative operations, HR operations, or a similar professional environment.
    • Demonstrated experience coordinating processes, maintaining accurate records or systems, tracking deadlines and deliverables, and following work through completion.
    • Experience managing multiple concurrent workflows, requests, projects, or administrative processes.
    • Experience working in a fast-paced, professional business environment.
    • Human Resources experience is helpful but not required.
    • Experience supporting operational processes involving confidential or sensitive information is preferred.
  • Knowledge & Skills
    • Exceptional organizational skills and attention to detail.
    • Strong ownership, accountability, and follow-through.
    • Ability to manage multiple priorities, deadlines, and open action items without losing visibility or accuracy.

  • Education & Certifications
    • Associate's or Bachelor's degree in Business Administration, Operations, Human Resources, Project Management, or a related field preferred.
    • Relevant professional experience may be considered in place of a specific field of study.
    • HR certification is not required.
