Workday Specialist – International HR

Job Summary

The Workday Specialist will serve as the primary Workday lead for the International business, supporting multiple countries and entities across Europe, Australia, and other international markets. The role is responsible for the ongoing management, optimisation, governance, reporting, training, and continuous improvement of Workday to ensure it supports business objectives and delivers an excellent employee and manager experience.

The successful candidate will partner closely with HR, IT, and the Global HRIS team to ensure data integrity, process efficiency, compliance, and adoption of Workday across International operations. The role will act as the key subject matter expert for all Workday-related activities throughout the employee lifecycle. The International business currently operates across multiple countries and entities that utilise Workday for Human Capital Management and employee processes. The role will be based in the London office.

Key Responsibilities

Workday Ownership

  • Act as the primary Workday SME for International HR.
  • Own day-to-day administration and management of Workday across all International entities.
  • Support Workday enhancements, releases, testing, and system improvements.
  • Manage configuration requests and coordinate with the Global HRIS team where required.
  • Ensure Workday processes remain aligned with business requirements and local regulatory obligations.
  • Experience with payroll connector

Employee Lifecycle Management

  • Support Workday processes covering:
    • Recruitment
    • Onboarding
    • Job changes
    • Compensation changes
    • Performance management
    • Promotions
    • Terminations
    • Reporting and analytics
    • Time tracking
    • Payroll
  • Ensure employee data is maintained accurately and consistently.

Reporting & Analytics

  • Develop and maintain Workday dashboards and reports.
  • Produce workforce metrics and HR analytics for HR and business leaders.
  • Provide insights relating to headcount, turnover, recruitment, performance, diversity and talent management.
  • Support manpower planning and workforce reporting activities.

Data Integrity & Governance

  • Ensure data quality across all International entities.
  • Conduct regular audits and data validation exercises.
  • Support GDPR and data privacy requirements.
  • Maintain robust system governance and controls.

Project Management & Change Management

  • Support Workday rollouts, upgrades and new module implementations.
  • Lead user acceptance testing (UAT) and business testing activities.
  • Manage project plans, user communications and adoption activities.
  • Identify opportunities for process automation and efficiency improvements.

Training & User Support

  • Deliver Workday training to managers and employees.
  • Develop user guides, process documentation and training materials.
  • Act as first point of contact for Workday queries across International.
  • Promote employee and manager self-service adoption.

Recruitment & Talent Integration

  • Partner with Talent Acquisition teams on Workday Recruitment functionality.
  • Support recruiting workflows, approvals, reporting and candidate management.
  • Assist with future implementation phases and functionality enhancements.

Stakeholder Management

  • Partner with:
    • International HR Team
    • Payroll Teams
    • HR Business Partners
    • Talent Acquisition
    • Global HRIS Team
    • IT
  • Build strong relationships across all International entities to ensure successful adoption and utilisation of Workday.

Qualifications & Experience

Essential

  • Bachelor's degree in Human Resources, Business, Information Systems, Technology, or related field.
  • Minimum 4-6 years' experience working with Workday.
  • Experience supporting multiple geographies and entities.
  • Strong understanding of HR processes and employee lifecycle management.
  • Advanced reporting and analytics capability.
  • Experience managing HR systems projects and implementations.
  • Excellent stakeholder management and communication skills.
  • Strong knowledge of data governance and GDPR principles.
  • Advanced Microsoft Excel and reporting skills.

Desirable

  • Workday Certification in one or more modules.
