Profile Requirements:

  • Experience: 2+ years of Virtual Assistant, Executive Assistant, Administrative Assistant, or similar support experience.
  • Industry Background: Previous experience supporting e-commerce, media, entertainment, content creation, or digital marketing businesses.
  • Communication Skills: Excellent verbal and written English communication skills with a professional phone presence.
  • Organization: Strong ability to manage multiple calendars, deadlines, meetings, and priorities simultaneously.
  • Technical Skills: Shopify, tiktok shop, Canva and Adobe Proficiency with Microsoft Office, Google Workspace, Zoom, Calendly, and other scheduling and collaboration tools.
  • Attention to Detail: Strong accuracy in scheduling, record keeping, follow-ups, and administrative processes.
  • Preferred Qualifications
  • Experience supporting executives, entrepreneurs, content creators, influencers, or media professionals.
  • Familiarity with e-commerce platforms such as Shopify, WooCommerce, or online marketplace operations.
  • Experience coordinating production schedules, content calendars, or marketing campaigns.
  • Knowledge of CRM systems and project management tools.
  • Ability to work independently with minimal supervision.

Core responsibilities:

  • Calendar Management: Maintain and coordinate calendars, schedule appointments, meetings, interviews, and virtual events while managing scheduling conflicts and reminders.
  • Meeting Coordination: Organize internal and external meetings, prepare agendas, distribute meeting materials, and ensure all participants have the necessary information.
  • Call Handling: Answer inbound calls professionally, take detailed messages, direct inquiries appropriately, and provide exceptional customer service.
  • Email & Communication Management: Monitor inboxes, respond to routine inquiries, prioritize communications, and draft professional correspondence on behalf of leadership.
  • Administrative Support: Maintain records, organize digital files, update databases, prepare reports, and assist with various administrative projects.
  • E-Commerce & Media Assistance: Support e-commerce operations, content schedules, campaign coordination, talent/vendor communications, and other industry-related administrative tasks as needed.
  • WordPress Maintenance: (no coding required) Manage and update the WordPress website, upload content, keep pages and magazine sections updated, maintain basic site functionality, and help connect different platforms into WordPress.
  • Creative: Create simple marketing materials using Canva, with Adobe as a plus, produce short 30-second promotional videos, support basic content creation for marketing campaigns, and prepare visual assets for online posts and website publis
