As part of their rapid expansion, they are looking for a highly organized and customer-focused Virtual Assistant / Office Admin to support daily operations and enhance patient experience.

Job Summary

We are looking for a proactive and detail-oriented Virtual Assistant / Office Admin with a healthcare background and strong customer service skills. In this remote role, you will support administrative operations, coordinate patient communication, manage scheduling tasks, and assist the team with day-to-day office processes. Key Responsibilities
  • Manage patient scheduling, appointment confirmations, and calendar coordination.
  • Respond to emails, messages, and phone inquiries professionally and promptly.
  • Assist with administrative tasks including data entry, documentation, and record management.
  • Support insurance verification and patient intake processes when required.
  • Maintain accurate patient records and ensure confidentiality standards are followed.
  • Coordinate with therapists and office staff to streamline workflows and daily operations.
  • Provide excellent customer support to patients before, during, and after appointments.
  • Assist with follow-ups, reminders, and general office organization tasks.

Requirements
  • Previous experience in a healthcare, medical, wellness, or physical therapy setting.
  • Strong written and verbal English communication skills.
  • Proven customer service or client-facing experience.
  • Excellent organizational and multitasking abilities.
  • Comfortable using scheduling tools, CRMs, Google Workspace, and office software.
  • High attention to detail and ability to work independently in a remote environment.
  • Reliable internet connection and a professional remote work setup.
  • Experience supporting healthcare administration or patient coordination is highly preferred.
