JOB OVERVIEW

We are seeking a highly organized and proactive Virtual Assistant with experience in operational workflows and executive support.

This role is ideal for someone who thrives in fast-paced environments, anticipates needs before they arise, and ensures seamless day-to-day operations so leadership can focus on strategic initiatives.

KEY RESPONSIBILITIESAdministrative & Executive Support
  • Manage executive calendars across multiple stakeholders

  • Schedule meetings, appointments, and coordinate availability

  • Arrange travel (flights, accommodations, itineraries) and reconcile expenses

  • Monitor and prioritize incoming emails and communications

  • Serve as liaison between executives, clients, staff, and external partners

Operations Support
  • Coordinate internal meetings (logistics, materials, tech setup)

  • Take detailed meeting minutes and track action items

  • Follow up on deliverables to ensure timely completion

  • Process invoices, expense reports, and reimbursements accurately

  • Maintain and organize digital filing systems for easy retrieval

QUALIFICATIONS
  • 2–3 years of experience in administrative support, executive assistance, or operations coordination

  • Proven experience supporting senior leadership or managing operational workflows

Technical Skills
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Experience with project management tools (Asana, Trello, Monday.com, or similar)

  • Familiarity with CRM systems (Salesforce, HubSpot, or equivalent)

  • Proficiency in video conferencing platforms (Zoom, Microsoft Teams, Google Meet)

  • Experience with scheduling tools (Google Calendar, Acuity Scheduling, or similar)

Soft Skills
  • Excellent written and verbal communication skills

  • Strong attention to detail and accuracy

  • Adaptable and flexible in fast-paced environments

  • Proactive problem-solver with strong critical thinking skills
