Location: Toronto, Ontario, Canada

Role: Video Editing & Podcast Content Repurposing Virtual Assistant

Assistance needed: Podcast and social media posts

About the Client

Liz is an educational consultant, AI Governance Advisor, and a founder. Her work spans responsible AI adoption, human rights, EDI, communications, education, storytelling, content strategy, and institutional risk.

She works with organizations and audiences through consulting, educational projects, workshops, public speaking, podcasts, YouTube content, and other thought-leadership initiatives.

She is currently involved in a major project with a nonprofit in Canada to develop a digital resource hub that consolidates and organizes curriculum related to various human rights issues.

Alongside her consulting and educational work, Liz is building her online presence through podcasting and video content.

Position Overview

Liz is looking for a reliable and conscientious Video Editing & Content Repurposing VA who can take over the time-consuming post-production work for her podcast and YouTube content.

The main purpose of this role is to allow Liz to focus on recording, speaking, consulting, and creating content rather than spending hours editing and preparing each episode for publication.

The editing itself is generally light and straightforward. Liz is not looking for highly complex cinematic editing or extensive video production. She primarily needs someone who can efficiently clean up recordings, follow specific editing instructions, prepare show notes, create short-form content, and return polished, ready-to-post assets.

The ideal VA should have good attention to detail, strong English proficiency, good judgment, and the ability to follow specific instructions accurately.

Key Responsibilities

1. Podcast Video Editing

The VA will be responsible for editing Liz's podcast/video recordings, which are generally approximately 20–30 minutes long.

Typical editing tasks include:

  • Removing unnecessary "ums," "ahs," pauses, mistakes, and other minor verbal or visual distractions.
  • Cleaning up recordings while maintaining a natural conversational flow.
  • Following specific editing instructions provided by Liz.
  • Removing particular sections of an episode when requested.
  • Locating and editing specific portions of the recording based on Liz's instructions.
  • Keeping edits clean, simple, and professional without unnecessarily over-editing the content.
  • Adding Liz's existing intro and outro/music clips where appropriate.
  • Working with existing branded/audio assets provided by Liz.
  • Delivering the completed video in a format that is easy for Liz to upload and publish.

Editorial judgment

Most episodes will require straightforward editing. Occasionally, Liz may identify a particular section that should be removed because of the content or context.

The VA should therefore be comfortable following detailed editorial instructions and locating specific sections of a recording accurately.

The VA is not expected to independently make major editorial decisions about Liz's content. When Liz provides specific instructions, the VA should follow them carefully.

2. Podcast Show Notes

For each podcast episode, the VA will assist with preparing clear and useful show notes.

Show notes may include:

  • A brief overview of what the episode is about.
  • A short introduction to the guest.
  • Information about the guest and where listeners can find them.
  • Key points, insights, or recommendations discussed during the episode.
  • Important moments or topics discussed.
  • Relevant timestamps where appropriate.
  • References to particularly useful sections of the conversation.
  • Other information needed to make the episode ready for publication.

The show notes do not need to be highly technical or complicated. They should be clear, accurate, well-written, and easy for an audience to scan.

Strong written English is therefore important.

3. Short-Form Video Repurposing

A major responsibility of the role will be turning podcast episodes into short-form content.

The VA will:

  • Review completed podcast episodes and identify useful clips.
  • Select strong, interesting, or insightful moments that can stand alone as short-form content.
  • Create approximately 2–3 short-form videos per podcast episode, depending on the quality and amount of usable content from the guest.
  • Edit clips for short-form/social media use.
  • Create concise, engaging video cuts from the longer podcast.
  • Prepare content suitable for formats such as Reels, Shorts, and similar social media content.
  • Ensure the finished clips are ready for Liz to post herself.

The number of short-form clips is flexible and will depend on the episode. Liz's current expectation is approximately two to three clips per episode, rather than a rigid requirement to produce a specific number regardless of the available content.

4. YouTube Content

In addition to the podcast, Liz plans to create shorter YouTube commentary videos that are separate from the podcast.

The VA may assist with:

  • Editing these shorter YouTube videos.
  • Cleaning up the recordings.
  • Removing unnecessary pauses, mistakes, and filler words.
  • Applying basic formatting and editing.
  • Preparing the final video for Liz to publish.

These videos are intended to be relatively short and straightforward rather than heavily produced long-form videos.

5. YouTube Thumbnail Creation

The VA will also assist with creating YouTube thumbnail graphics.

Responsibilities may include:

  • Creating clean and professional thumbnails for podcast and YouTube videos.
  • Using appropriate text, imagery, and layout.
  • Keeping thumbnails visually appealing and easy to understand.
  • Following Liz's preferences and any branding guidelines she provides.
  • Delivering the final thumbnail in a format that is easy for Liz to upload.

Graphic design does not need to be highly advanced, but the VA should have enough visual/design ability to create polished and professional thumbnails.

6. Content Preparation for Publishing

The VA's responsibility is primarily post-production and preparation, not publishing.

Once the content is completed, the VA will send the final files and supporting materials back to Liz so that she can publish them herself.

Content may include:

  • Edited podcast videos.
  • Short-form video clips.
  • YouTube videos.
  • YouTube thumbnails.
  • Show notes.
  • Other supporting content as requested.

Liz specifically indicated that she is comfortable doing the actual publishing herself.

7. File Delivery & Organization

The VA should be comfortable sharing completed files through cloud-based file-sharing platforms.

Liz mentioned Dropbox or a similar platform as an acceptable way to receive completed content.

The VA should:

  • Keep project files organized.
  • Use clear file names.
  • Deliver the correct final versions.
  • Ensure files are accessible and easy for Liz to download/use.
  • Keep source and final assets organized where applicable.

Content Publishing Schedule

Liz's planned podcast frequency is once per week or, at most, once every two weeks.

At present, however, episodes have been going out less than once a month because the post-production process has been too labor-intensive.

One of the primary goals of hiring the VA is therefore to remove this bottleneck and help Liz move toward a more consistent publishing schedule.

The VA may also support Liz as she begins producing more standalone YouTube commentary videos.

Current Content Platforms

Liz currently publishes podcast content on:

  • YouTube
  • Spotify
  • Apple Podcasts

The VA will prepare the content for Liz to publish. The VA will not be responsible for publishing the content unless this responsibility is added later.

Tools & Software

Liz is not particular about which editing software or tools the VA uses.

The priority is the quality and usability of the final output rather than proficiency with a specific platform.

The VA may use whichever professional editing tools they are most comfortable with, provided the final files meet Liz's requirements.

Potential tools may include video editing, audio editing, graphic design, file-sharing, and AI-assisted content tools, but no specific software is mandated by the client at this time.

The VA should be comfortable learning or adapting to new tools when necessary.

Required Skills & Qualifications

Essential

  • Demonstrated experience with video editing.
  • Experience editing podcast or interview-style content is strongly preferred.
  • Ability to perform clean, basic-to-intermediate video editing.
  • Strong attention to detail.
  • Excellent English proficiency.
  • Ability to understand and follow instructions accurately.
  • Ability to locate and edit specific sections of long-form content.
  • Good file organization skills.
  • Ability to meet agreed deadlines.
  • Reliable and consistent follow-through.
  • Ability to work independently with minimal supervision.
  • Good communication skills.

Preferred

  • Experience repurposing long-form content into Reels, Shorts, or other short-form videos.
  • Experience creating YouTube thumbnails.
  • Experience preparing podcast show notes.
  • Experience working with YouTube/podcast creators, coaches, consultants, educators, or thought leaders.
  • Basic graphic design skills.
  • Familiarity with cloud-based file-sharing platforms such as Dropbox.
  • Familiarity with AI-assisted video/content tools.
  • Good understanding of what makes a video clip engaging and suitable for short-form content.

Ideal Personality & Working Style

Liz specifically values someone who is conscientious.

The ideal VA should be:

  • Detail-oriented.
  • Dependable.
  • Conscientious.
  • A good listener.
  • Comfortable following directions.
  • Able to execute instructions accurately.
  • Proactive when clarification is needed.
  • Responsive and communicative.
  • Comfortable working independently.
  • Respectful of the client's editorial preferences.
  • Careful when handling sensitive or potentially controversial content.
  • Open to feedback and revisions.

Most importantly, the VA should not simply apply their own editing style without considering Liz's instructions. They need to be able to take direction and make precise changes based on Liz's notes.

Communication Expectations

Preferred communication platform: WhatsApp.

Liz does not require the VA to work within her exact Toronto working hours.

The VA may work on a flexible schedule as long as communication remains open and the VA is able to respond within approximately half a day.

There is no requirement for the VA to be online at a specific time each day.

The priority is responsiveness, reliability, and meeting agreed deadlines.

Hours & Engagement Structure

First Month

5 hours per week

Liz specifically chose this as a conservative starting point because she wants to determine how much work she will have available for the VA.

The first month will also give Liz time to evaluate and improve her own content workflow and potentially increase her content output.

After First Month

The engagement is expected to scale to the agency minimum of:

10 hours per week

As Liz's content production increases, there may be additional work available for the VA, including more podcast episodes, YouTube commentary videos, short-form clips, thumbnails, and related content preparation.

Candidate Portfolio Requirement

A portfolio is important to Liz.

She specifically asked to see examples of the editors' previous work before deciding whom to interview.

Candidates should therefore provide relevant samples, preferably demonstrating:

  • Podcast/interview editing.
  • Talking-head video editing.
  • Short-form clips.
  • Reels/YouTube Shorts.
  • YouTube thumbnails.
  • Before/after editing examples where available.

Candidates with podcast or educational/thought-leadership content experience should be prioritized.

Key Success Measures

The VA will be successful if they can help Liz:

  • Reduce the time she spends editing her own podcast episodes.
  • Consistently get podcast episodes ready for publication.
  • Move closer to her goal of publishing weekly or every two weeks.
  • Turn long-form podcast conversations into useful short-form content.
  • Create approximately 2–3 quality short clips from suitable episodes.
  • Prepare clear and useful show notes.
  • Create professional YouTube thumbnails.
  • Support the production of shorter YouTube commentary videos.
  • Receive completed content in an organized, easy-to-post format.
  • Allow Liz to focus more of her time on consulting, speaking, education, and content creation rather than post-production.
