Practice by Numbers (PBN) | Gurugram, India Scope: Product Design — Web App, Mobile & Kiosk
About Practice by Numbers
Practice by Numbers is a dental practice management SaaS platform serving over 1,500 practices across North America — practice management software, VOIP, payment processing, analytics, and AI-powered patient communication. Our users are dentists, front-desk staff and office managers who live inside our product all day, under time pressure.
About the Role
We're looking for a UX Designer to own end-to-end product design — from problem framing and user flows through to high-fidelity UI and developer handoff. This is a hands-on IC role on a small design team: you will be the design presence in Gurugram, working directly with Product Managers and engineers here, and reporting to our Senior Designer in the US.
You'll design across the platform: the AI Receptionist (voice and SMS patient conversations), Online Appointment Booking, Campaigns, Payments, PracticeIQ analytics, the new web app layout experience, and our mobile and front-desk kiosk apps. Real workflows, real constraints — multi-tenant software, dense data screens, and staff who need to complete a task in seconds, not minutes.
Reports to: Senior Designer (US-based)
Location: Gurugram, India — this role is open in Gurugram only
Work Mode: In-office
Working Hours: Primarily IST (10 AM – 5 PM), with some evening overlap with US teams (until 9–11 PM IST) as needed
What You'll Do
Design
- Turn product requirements and user problems into flows, information architecture, wireframes and high-fidelity UI in Figma
- Design for web, responsive web, mobile and kiosk — including empty, loading, error and permission states
- Prototype interactions to test and communicate intent before engineering builds it
- Design for existing screens as often as new ones — redesigns and incremental improvements are a large part of the work
Discovery & Validation
- Talk to internal stakeholders (CX, support, sales) and end users to understand the workflow before designing it
- Run lightweight usability tests and design reviews; use findings to change the design, not to justify it
- Use product analytics and support tickets as inputs to design decisions
System & Handoff
- Work within and contribute to our design system — components, patterns, tokens; flag and resolve inconsistencies
- Produce clear specs and handoff: states, responsive behaviour, edge cases, interaction details
- Review the built implementation against the design and close the gaps with engineering
- Apply accessibility fundamentals — contrast, hierarchy, keyboard and touch targets
- Use AI design tools alongwith legacy tools such as Figma, XD to get the designs implementation ready.
Collaboration
- Partner with Product Management from problem statement onward, surfacing edge cases early
- Participate in grooming, sprint planning and product reviews with distributed teams
- Present and defend design decisions with reasoning, and take critique from the Senior Designer and PMs well
Experience
- 2+ years of core UX design experience at an internet or software product company (B2B/B2C SaaS, consumer internet, or product-led platforms)
- A portfolio you can walk us through — 2–3 case studies showing the problem, your process, the decisions you made, and the shipped outcome. Applications without a portfolio will not be considered.
- Experience designing products that shipped and that you saw through to release
Skills
- Strong command of Figma — components, variants, auto layout, prototyping, shared libraries
- Interaction design and information architecture fundamentals: hierarchy, layout, typography, states
- Ability to design within an existing design system rather than inventing per screen
- Comfortable designing data-dense screens — tables, dashboards, filters, settings
- Clear written and verbal English; can explain a design decision to a US stakeholder without a meeting
Attributes
- Comfort with ambiguity — you can make a reasonable call and explain it
- Self-directed; you drive your own work to completion without close supervision
- Comfortable with a fast pace, evolving requirements and a two-releases-a-month cadence
- Willing to work in-office in Gurugram and overlap with US hours when needed
Preferred
- Formal design education — B.Des / M.Des in Interaction, Communication or Product Design, or HCI
- B2B SaaS or multi-tenant product experience
- Healthcare, fintech or other regulated-domain products
- Experience with conversational or voice interfaces
- Contributed to building or maintaining a design system
- Working knowledge of HTML/CSS — enough to know what is cheap and what is expensive to build
- Exposure to AI-assisted design tooling in day-to-day work
Skills Required
- 2+ years of core UX design experience at an internet or software product company
- Portfolio with 2–3 case studies demonstrating the problem, process, decisions, and shipped outcome
- Experience designing products that shipped and were followed through to release

- Knowledge of interaction design and information architecture fundamentals
- Ability to design within an existing design system
- Experience designing data-dense screens such as tables, dashboards, filters, and settings
