GENERAL DESCRIPTION:     

The Training Compliance & Scheduling Coordinator supports the administration and coordination of company training and development programs to help ensure employees complete required training, certifications, and position-specific qualifications. This position monitors training activity and workforce readiness, identifies training and certification gaps, coordinates technical training schedules and resources, and provides reporting to support business and employee development needs.

 

The Training Compliance & Scheduling Coordinator manages training schedules through Omega or other appropriate training scheduling system, and works closely with Technical Trainers, Operations Leaders, Store Management, and other business partners to prioritize training needs and ensure training resources are effectively scheduled and deployed.

 

ESSENTIAL FUNCTIONS: 

Learning Management System (Schoox) Administration

  • Monitor employee training progress, certification status, learning path completion, and position-specific qualification requirements through Schoox.
  • Maintain accurate employee training, certification, and qualification records within the Learning Management System (LMS).
  • Generate and analyze LMS reports to identify incomplete or overdue training, certification gaps, and other areas requiring follow-up.
  • Monitor upcoming certification expirations and required renewals and communicate needed actions to appropriate leaders and employees.
  • Develop and maintain recurring reports and dashboards that provide leadership with visibility into training completion, certification status, and workforce readiness.
  • Partner with appropriate stakeholders to resolve training record discrepancies and maintain the integrity and accuracy of LMS data.

 

Training Needs Analysis

  • Identify stores, departments, positions, and employees requiring additional training or development based on training completion, certification, qualification, and relevant performance information.
  • Partner with Operations and Training leadership to evaluate and prioritize training needs based on business priorities and workforce requirements.
  • Analyze training and qualification data to identify trends, recurring gaps, and opportunities to improve employee readiness and performance.
  • Provide recommendations regarding training priorities and resource allocation based on identified needs and business impact.
  • Support workforce development reviews and training planning activities by providing relevant data, trends, and insights.

 

Training Scheduling & Coordination

  • Utilize Omega and other company scheduling systems to coordinate technical training events, trainer assignments, and store visits.
  • Schedule Technical Trainers based on identified training needs, business priorities, trainer availability, and operational requirements.
  • Coordinate logistics for in-store training, workshops, certification events, and virtual learning sessions.
  • Communicate training schedules, requirements, changes, and expectations to Technical Trainers, Store Management, participants, and other stakeholders.
  • Track attendance and training completion and coordinate appropriate follow-up for missed, incomplete, or rescheduled training.
  • Adjust training schedules and trainer assignments as business priorities and operational needs change.
  • Coordinate training resources to support effective trainer utilization and appropriate training coverage across store locations.

 

Reporting & Communication

  • Prepare and distribute weekly, monthly, and ad hoc reports related to training completion, certifications, qualification status, and workforce readiness.
  • Communicate upcoming certification expirations, overdue training, and other required training actions to appropriate leaders and employees.
  • Provide Training and Operations leadership with visibility into training progress, outstanding needs, and areas requiring attention.
  • Support quarterly workforce development reviews and other training planning initiatives through preparation and analysis of training data.
  • Identify opportunities to improve training reporting, scheduling processes, tracking methods, and administrative workflows.
  • Maintain effective communication with Technical Trainers, Operations Leaders, Store Management, and other stakeholders regarding training priorities and activities.
  • Perform other duties and responsibilities as assigned.
Preferred Qualifications

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of learning management systems, training administration practices, and training record management; experience with Schoox or a similar LMS preferred.
  • Strong analytical and problem-solving skills, including the ability to interpret training, certification, and workforce data; identify trends and gaps; and recommend appropriate actions.
  • Strong organizational, planning, and time management skills with the ability to coordinate multiple training activities, schedules, priorities, and deadlines.
  • Skill in developing and maintaining accurate reports, dashboards, training records, and related documentation.
  • Strong written and verbal communication skills with the ability to effectively communicate information to employees, trainers, Store Management, Operations Leaders, and other stakeholders.
  • Ability to work independently, exercise sound judgment, take initiative, and follow assignments through to completion.
  • Ability to adapt to changing priorities and effectively manage multiple responsibilities in a fast-paced, multi-location environment.
  • Strong interpersonal and collaboration skills with the ability to establish effective working relationships across functional and operational teams.
  • Proficiency with Microsoft Excel, Outlook, Teams, and related business and reporting applications.
  • Knowledge of automotive service, technical training, retail operations, or workforce development practices preferred.
  • Knowledge of automotive certification and technical training programs, including ASE, ADAS, EV, and manufacturer-specific programs, preferred.

 

EDUCATION AND WORK EXPERIENCE:

  • Associate degree in Business Administration, Human Resources, Training and Development, or a related field preferred; equivalent combination of education and relevant experience may be considered.
  • Previous experience in training administration, learning management system administration, scheduling, workforce coordination, operations support, or a related area preferred.
  • Experience generating, analyzing, and communicating training, certification, or workforce metrics preferred.
  • Experience working in a multi-location retail, automotive service, or similar operational environment preferred.

 

PHYSICAL DEMANDS:

  • Work is primarily performed in an office environment; prolonged periods of sitting and working at a computer.
  • Frequent use of a computer and standard office equipment.
  • Occasional standing and walking throughout office, training, and store environments.
  • Occasional lifting, carrying, pushing, or pulling of training materials and equipment weighing up to 25 pounds.
  • Occasional bending, reaching, and stooping are associated with training activities and materials.
  • Occasional travel to store locations, training facilities, and company events.
