The Technical Proposal Coordinator ensures timely, compliant, and high-quality responses to RFPs, RFIs, RFQs and similar solicitations. You’ll be the sales (presales/post sales) operational backbone for proposal development—owning governance, schedules, version control, compliance checks and cross-functional coordination so Sales and Solutions teams can deliver compelling technical responses under tight deadlines. This role focuses on execution, quality assurance and reusable content management rather than direct selling.
Responsibilities
- Manage end-to-end proposal workflows from intake to submission: intake, kickoff, assignment, reviews, approvals, and final delivery.
- Triage new solicitations: extract requirements, mandatory deliverables, evaluation criteria, deadlines, and risks; raise compliance flags.
- Create and maintain proposal plans: timelines, RACI/responsibility matrices, submission checklists, and milestones.
- Coordinate contributors (Sales, Solution Architects, Product, Legal, Finance, Pricing, Execs) and drive timely input collection.
- Maintain version control, file naming conventions and a single source of truth (SharePoint/Repo).
- Perform compliance & readiness reviews (formatting, page limits, attachments, mandatory forms) prior to submission.
- Maintain and curate the proposal library: templates, boilerplate answers, standard technical descriptions, and reusable artifacts.
- Support desktop publishing: assemble, format and deliver professionally branded proposal documents and presentations.
- Manage submission logistics (e.g., portal uploads, package creation, courier/physical submission where required).
- Continuously improve process: capture lessons learned, update templates, and identify automation opportunities (RFP tools, macros, or AI workflows).
Required qualifications & experience
- Bachelor’s degree or equivalent.
- 0–3 years experience in proposals, bids, presales support, technical writing, or project coordination. (We hire smart juniors—strong interns/early-career candidates with relevant internships are welcome.)
- Demonstrated ability to manage multiple deadlines and stakeholders.
- Excellent written communication, proofreading and attention to detail.
- Proficiency with Microsoft Word, PowerPoint, Excel and PDF tooling.
- Comfortable using collaboration tools (SharePoint, OneDrive, Google Drive) and basic project tracking (Excel, Jira, Trello, Asana).
- Familiarity with AI-assisted writing tools (e.g., use of LLMs for first-draft generation, summarization, and boilerplate maintenance) and comfort validating / editing AI output.
Additional Qualifications
- Exposure to enterprise or public sector RFPs and procurement processes.
- Experience with proposal management platforms (Responsive, RFPIO, Loopio, Xait, Arphie, Ombud or similar).
- Familiarity with CRM (Salesforce) and contract/pricing review processes.
- Basic understanding of cybersecurity or enterprise software product messaging.
