Summary of Responsibilities:
We are seeking a dynamic and proactive Team Assistant to join the CEO's office on a part time basis in our prestigious banking and financial institution. This role plays a pivotal part in ensuring the smooth operation of the CEO's office and supporting senior management. The ideal candidate will possess exceptional organizational skills, discretion, and the ability to handle a wide range of administrative duties with professionalism and efficiency.
Principal Responsibilities:

  • Manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare agendas, presentations, and briefing materials for meetings.
  • Handle correspondence and prioritize incoming communications.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Coordinate logistics for executive meetings, including room bookings, catering, and technology setup.
  • Prepare and distribute minutes and action points from meetings as required.
  • Invoices (creating purchase orders, sign offs, vendor request and updating system).
    • Assist in organizing company events and functions involving the CEO's office.
    • Support special projects and initiatives led by the CEO's office, including research, data gathering, and reporting.
    • Coordinate with other departments and executive assistants to facilitate cross-functional projects.
    • Work closely with the EA of the CEO to ensure seamless operations and coverage.
    • Provide backup support to other executives' assistants as needed.

Knowledge/Skills/Competencies Required:

  • Proven experience as an administrative assistant, team assistant, or similar role, preferably in the banking or financial industry.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other relevant software.
  • Strong organisational and time-management skills, with the ability to prioritise tasks independently.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving skills.
  • Ability to handle confidential information with discretion.
