As a Team Assistant in the Mutual Benefits team, you’ll play a key role in keeping things running smoothly by handling a range of admin tasks and day-to-day support. This includes scheduling and setting up meetings, managing team calendars and events, and coordinating travel and expenses.
You’ll help with admin for products, training, and events, organise documents, and manage the team inbox — making sure queries are directed to the right people and followed up. You’ll also support program reporting and assist with basic project admin like invoices, updating project statuses, and processing purchase orders and supplier forms.
This will be a full time, 12 month contract position based in the Sydney office, with flexibility to work from home up to 3 days.
YOUR RESPONSIBILITIES
- Coordinate day-to-day admin and logistical support for team members, including meeting bookings, document organisation, and general assistance.
- Support Senior Leaders and Managers with admin tasks as needed, ensuring deadlines and priorities are met.
- Manage travel bookings, accommodation, and itineraries in line with company policy and budget.
- Support with the administration and coordination of training events.
- Draft, format, and prepare documents, reports, and correspondence, making sure they align with EML’s branding guidelines.
- Oversee meeting coordination - from setting up agendas and room bookings to taking minutes, organising catering, and following up on actions.
ABOUT YOU
- 2+ years’ experience in a similar administrative, team assistant, or office support role.
- Excellent familiarity with the Microsoft Office suite.
- Proven ability to manage time effectively, prioritise tasks, and stay organised in a busy environment.
- Experience providing high-quality admin support in a fast-paced, team-focused setting.
- Able to learn and adapt to new technology and platforms.
- Familiarity with processing purchase orders, invoices, and assisting with financial reporting would be advantageous.
