POSITION SUMMARY:
The Talent Operations Specialist manages operational talent acquisition execution, tracking, and handoffs from job creation through offer acceptance and week-one onboarding. Working within defined and documented processes, the Specialist partners with People Strategy, People Operations, Talent Acquisition, the onboarding team, hiring managers, Information Technology, and other stakeholders to deliver a consistent new-hire experience.
The role manages compliance paperwork, pre-employment activities, HRIS entry, technology readiness, and timely handoffs while maintaining accurate systems, records, job descriptions, and recruiting resources. Assignments are moderately difficult; the Specialist receives little instruction on daily work and general instruction on newly introduced assignments, selecting and adapting established methods to resolve issues and applying solutions to related situations. The role owns staffing agency coordination, job-offer documentation, and reference checks, and may help train new team members. Success requires organization, sound judgment, attention to detail, and accountability for the quality and timeliness of own deliverables.
ESSENTIAL JOB DUTIES:
- Coordinate the operational handoff from offer acceptance through Day One using established readiness checklists and timelines across Talent Acquisition, People Operations, onboarding, hiring managers, Information Technology, and other partners.
- Manage job-offer documentation, background checks, drug screens, reference checks, required forms, and other pre-employment activities using approved processes.
- Monitor completion of required compliance steps and documentation, review new-hire paperwork for accuracy and completeness, resolve missing or incorrect information, and escalate only non-standard exceptions before established deadlines.
- Coordinate new-hire IT setup, including system access, equipment, and Day One technology readiness, and follow up on incomplete requests.
- Enter and verify new-hire information in ADP and complete accurate, timely handoffs to People Operations, onboarding, managers, and other partners.
- Coordinate interview scheduling, candidate communications, feedback follow-up, offers, and start dates from candidate selection through Day One using established workflows and templates.
- Partner with recruiters and hiring managers by tracking next steps, sending timely updates, resolving delays, and escalating non-standard exceptions to the appropriate owner.
- Administer the candidate experience survey, including distribution, response tracking, and reporting of results and trends; share insights with Talent Acquisition and recommend improvements to the candidate experience.
- Review inbound applications for assigned roles using established screening criteria, identify candidates who meet role requirements, and provide recommendations or advance qualified applicants through the recruiting workflow in accordance with defined processes.
- Manage staffing agency partner coordination for assigned roles, including candidate submissions, interviews, feedback, conversions, offers, and start-date updates.
- Maintain responsive communication, track open items, and escalate delays, risks, performance concerns, or missing decisions to the appropriate owner.
- Maintain accurate and timely candidate, requisition, offer, and start-date information across recruiting systems, trackers, and reports by following established data standards.
- Prepare recurring status updates and reports, monitor data quality, investigate and resolve discrepancies, and identify and address recurring causes.
- Administer the applicant tracking system, including requisitions, workflows, templates, user resources, and routine updates; troubleshoot issues and adjust workflows and templates as needed.
- Coordinate job-description creation and revisions, route content for review, maintain approved templates and version records, and support timely publication in the designated source of truth.
- Create and maintain training materials, resource guides, checklists, interview materials, process documentation, and shared recruiting resources using approved formats.
- Serve as a go-to resource on talent operations processes and systems, and help train and up-skill new team members on the applicant tracking system, ADP entry, and Day One readiness.
- Train hiring managers and interviewers on interview practices and JazzHR use, including interview guides, scorecards, feedback submission, and candidate workflow steps; maintain related training resources and reinforce consistent use.
- Identify recurring issues and recommend and implement practical workflow or system improvements that reduce delays, rework, and manual effort.
- Drive consistent handoffs among Talent Acquisition, onboarding, and People Operations by tracking status, resolving issues, and escalating non-standard exceptions.
- Plan and manage recruiting events, including logistics, schedules, materials, participant communications, and post-event follow-up. Travel to support event when needed.
- Support Marketing and Talent Acquisition with job postings and related recruiting materials to help maintain accurate, timely, and consistent content across channels.
- Support orientation preparation, compliance audits, special projects, and cross-functional People initiatives while handling candidate and employee information with discretion. Other duties and responsibilities as required.
