The Opportunity

The Talent Acquisition Specialist is responsible for supporting full-cycle recruitment activities across assigned roles and departments. This role focuses on sourcing, screening, interviewing coordination, candidate experience, onboarding support, and recruitment operations.

This position is hands-on and execution-focused, working closely with hiring managers and the HR team to ensure timely, compliant, and effective hiring processes while maintaining a strong candidate experience.

Essential Functions

Talent Acquisition & Recruitment Operations

  • Partner with hiring managers to develop accurate and compelling job descriptions aligned with role requirements and organizational needs.
  • Manage full-cycle recruitment for assigned positions, including intake meetings, sourcing, screening, interviewing, offer coordination, and onboarding handoff.
  • Source candidates through job boards, social media, professional networks, employee referrals, and other recruitment channels.
  • Identify and recommend innovative sourcing strategies to attract both active and passive candidates.
  • Conduct resume reviews and initial phone screens to assess qualifications and job fit.
  • Coordinate and schedule interviews between candidates and hiring managers.
  • Support interview logistics to ensure a seamless and positive candidate experience.
  • Facilitate reference checks and share relevant findings with hiring managers.

Candidate Experience & Communication

  • Serve as the primary point of contact for candidates throughout the recruitment process.
  • Maintain consistent communication with candidates regarding status updates, next steps, and disposition outcomes.
  • Ensure a professional and positive candidate experience throughout all stages of the hiring process.
  • Address candidate inquiries promptly and professionally.

Onboarding & New Hire Support

  • Coordinate onboarding activities in collaboration with HR operations and hiring managers.
  • Ensure completion of new hire paperwork and compliance documentation.
  • Support onboarding process flow to ensure smooth integration into the organization.
  • Conduct or support new hire orientation sessions and assist with employee onboarding experience.
  • Serve as a point of contact for new hires during the onboarding process.

Recruitment Metrics & Systems

  • Maintain accurate candidate and requisition data within the Applicant Tracking System (ATS).
  • Assist with ATS optimization and ensure data integrity throughout recruitment processes.
  • Track and report recruitment metrics such as time-to-fill, source of hire, and pipeline activity.
  • Identify opportunities to improve recruitment efficiency and candidate flow.

Employer Branding & Recruitment Support Activities

  • Support recruitment events such as job fairs, career days, and community hiring initiatives.
  • Promote Vitra Health’s employer value proposition throughout the recruitment process.
  • Communicate benefits, culture, and organizational values to attract top talent.
  • Contribute to initiatives that enhance the organization’s visibility as an employer of choice.

Compliance & HR Support

  • Ensure recruitment practices comply with federal, state, and local employment laws.
  • Maintain confidentiality and professionalism when handling candidate and employee data.
  • Support HR projects and initiatives as assigned by HR leadership.
  • Assist in continuous improvement of recruitment and onboarding processes.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred (or equivalent experience).
  • 3–5+ years of full-cycle recruiting experience in a fast-paced environment.
  • Strong knowledge of sourcing strategies, recruitment best practices, and talent acquisition processes.
  • Experience using Applicant Tracking Systems (ATS) and recruitment tools.
  • Strong communication and interpersonal skills with ability to build relationships at all levels.
  • Excellent organizational skills with ability to manage multiple requisitions simultaneously.
  • Strong attention to detail and ability to maintain accurate data and documentation.
  • Ability to work independently while collaborating effectively within an HR team.
  • Familiarity with employment laws and recruitment compliance requirements.
  • High level of professionalism, confidentiality, and candidate service orientation.

Work Environment and Physical Requirements

  • Office-based work in a clean well-lit environment with fluctuating temperatures near others.
  • Client-facing field staff and community liaisons require frequent travel to client homes or community settings; ability to drive safely; work in client homes may involve varying temperatures, odors, allergens, pets, and other environmental factors.
  • Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse.
  • Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to negotiate stairs; requires visual acuity and manual dexterity to operate equipment.
