Purpose of the role
This role exists to ensure a streamlined and efficient recruitment operations process, supporting Ericsson's Talent Acquisition (TA) function. As TA Operation Partner, you manage key operational steps such as interview scheduling, offer and contract management, reference checks, background verification (BGV/Vetting), pre-onboarding/onboarding, and reporting.
You play a crucial role in creating a seamless, compliant and data-accurate experience for candidates, TA Partners and hiring managers, working closely with the TA GSSC and Japan People/TA teams.

As TA Operation Partner in Japan, you will be the operational "engine" of recruitment - making sure every step runs smoothly, documents are correct, and candidates and hiring managers feel supported. You will work in a global TA environment to handle local processes and communications with confidence.
Responsibilities & outcomes
Operational coordination & process management
  • Manage end-to-end recruitment operations in your assigned areas (e.g. BGV/Vetting, offer desk, interview scheduling, onboarding administration).
  • Ensure tasks are completed accurately and within agreed SLAs, following standardized process guidelines and work instructions.
  • Support TA Partners and Hiring Managers by preparing and processing offers, contracts, and onboarding documents in line with Ericsson policies and local regulations.

Stakeholder communication & collaboration
  • Build and maintain effective communication with TA Partners, Hiring Managers, People teams, Legal and other stakeholders.
  • Act as the main contact point for assigned operational processes, ensuring stakeholders are informed about status, next steps and timelines.
  • Provide clear and timely updates and follow-ups to manage expectations and keep recruitment activities on track.

Data management & reporting
  • Accurately record and update candidate and requisition data in the applicant tracking system (e.g. SAP SuccessFactors) and related tools.
  • Support regular and ad hoc reporting on operational metrics (e.g. turnaround times, completion rates, open cases).
  • Help maintain data integrity so information is reliable for analysis, audits and decision-making.

Compliance and risk mitigation
  • Adhere to Ericsson policies, employment laws, labor regulations and GDPR/data privacy requirements in all operational activities.
  • Handle confidential candidate and employee information with care, following ethical standards and internal controls.
  • Collaborate with Legal and People/TA to address compliance questions, escalate exceptions and mitigate potential risks.

Candidate & stakeholder experience
  • Contribute to a smooth, positive experience for candidates and internal stakeholders at each operational touchpoint.
  • Respond promptly to candidate and stakeholder queries, providing practical guidance and support.
  • Represent Ericsson's values and culture in all communications, acting as a brand ambassador for the TA function.

Ongoing learning & improvement
  • Stay updated on TA operations processes, tools and technologies (including GSSC global standards and Japan-specific requirements).
  • Participate in training, knowledge-sharing and continuous improvement activities within the TA and GSSC communities.
  • Suggest improvements to workflows, templates and instructions to increase efficiency and quality.

Skills and competencies
  • Strong attention to detail and accuracy in handling documents and data.
  • Good planning, prioritization and time management skills in a multi-tasking environment.
  • Service mindset with a focus on supporting TA Partners, Hiring Managers and candidates.
  • Ability to follow standard processes while identifying opportunities to simplify and improve.

  • Understanding of recruitment operations and basic HR processes.
  • High level of integrity, ethics and compliance awareness.

Experience & qualifications
  • Experience in recruitment operations, HR operations, shared services or a similar coordination role.
  • Familiarity with HR/TA processes such as background checks, offers, contracts, onboarding and data management.
  • Experience working with HR/TA systems and case management tools (e.g. SAP SuccessFactors, BMC Case Management) is an advantage.
  • Basic understanding of data privacy and labor law principles relevant to HR operations.
  • Comfortable working in a global, matrixed environment and collaborating virtually with GSSC and TA colleagues.

Language requirements (mandatory)
  • Business-level Japanese (speaking and writing) is required to handle local documentation, communication with candidates and stakeholders,.
  • Business-level English (spoken and written) is required to collaborate with global TA/GSSC teams and use global tools and documentation.
