As a Project Coordinator in Talent Acquisition, you will be an essential member of a highly organized team, responsible for delivering a seamless and positive end-to-end recruiting experience in a fast-paced and evolving environment. You will manage essential operational support, encompassing complex global interview scheduling, meticulous data maintenance in systems like Workday and Rooster, comprehensive candidate logistics and onboarding, and contribution to process improvements and ad-hoc projects.
As a Talent Acquistion Coordinator, you will:
Manage the Calendar: Schedule remote and onsite interviews across multiple global time zones, smoothly adapting when priorities or availabilities shift.
Keep People Connected: Act as the primary point of contact for candidates and internal teams, proactively sharing updates and keeping the Coordinator Inbox clear.
Own the Admin & Systems: Maintain accurate, compliant candidate records in Workday, Rooster and other systems..
Handle Logistics: Process candidate travel expenses, upload NDAs, and issue contingent worker contracts and background checks via DocuSign.
Improve the Process: Help us streamline our TA documentation and Standard Operating Procedures (SOPs) to make hiring better for everyone.
Onboarding Coordination: Initiate and monitor background checks and the onboarding process for new hires.
Experience & Project Support: Ensure every candidate experience is positive and professional.. Maintain strict confidentiality and manage ad-hoc projects as needed.
We Are Excited About You If You Have: (Required Qualifications)
Experience: 2 to 4 years of a practical background in Coordination, or Recruiting Operations, plus a Bachelor's degree (or equivalent working experience).
Interpersonal Skills: Ability to work collaboratively with Talent Acquisition, candidates and hiring managers
Technical Proficiency: Zoom, Workday (required), Google Suite (preferred) or MS Office proficiency and Rooster (preferred).
Attention to Detail: The organizational skills to juggle multiple moving parts and tight deadlines without dropping the ball.
Clear Communication: Excellent written and verbal communication skills, allowing you to effectively manage relationships with diverse stakeholders across a global business.
Adaptability: An understanding of how fast-paced environments work, and the ability to pivot smoothly when the day's priorities change.
Availability: Ability to work occasional overtime as needed to support global recruiting efforts or during peak periods.
